Suitable Adventures Terms and Conditions

Welcome! We’re Suitable Adventures LLC (“Suitable Adventures,” “we,” “us,” or “our”). We’re thrilled you’re here and can’t wait to help you plan a trip you’ll love. These Terms & Conditions (“Terms”) explain how bookings work with our agency and what you can expect from us and the travel suppliers we partner with (airlines, hotels, cruise lines, tour operators, etc.).

By requesting a quote, making a payment, or confirming a booking with us, you agree to these Terms.

1) Who We Are (And What That Means)

We are a travel agency and act as an independent intermediary between you (“you” or “client”) and the travel suppliers who actually provide the services (flights, hotels, cruises, tours, transfers, insurance, etc.). Your reservations are subject to each supplier’s own terms, conditions, schedules, and policies. We’ll share those with you when applicable and are happy to explain anything that’s unclear.

2) Quotes, Availability & Pricing

    •    Prices and availability can change at any time until a deposit/payment is made and the supplier confirms your booking.

    •    Unless noted, prices are per person and may be based on double occupancy.

    •    Taxes, resort fees, baggage fees, and other charges may be additional per supplier rules.

    •    If a supplier issues a price adjustment (fuel surcharges, tax changes, etc.), your total may change accordingly.

3) Payments & Invoices

    •    Payments are made through a Suitable Adventures invoice. We then process your payment with the supplier.

    •    We’ll provide due dates (deposit, interim, and final). Missed payments may lead to cancellation per supplier policy.

    •    For security, names on payments must match the names on travel documents.

4) Cancellations, Changes & Refunds

    •    We follow supplier policies for cancellations, changes, penalties, and refunds. These vary by supplier and fare type.

    •    Some bookings are non-refundable and/or non-changeable.

    •    If you request a change or cancellation, we’ll guide you through the supplier’s process and fees.

    •    Refunds (when allowed) are issued by the supplier, not by Suitable Adventures, and can take several weeks to process.

5) Travel Protection (Insurance)

We strongly recommend travel protection to help safeguard your investment against the unexpected (illness, weather events, delays, etc.). If you choose to decline, you’ll sign a simple waiver acknowledging that choice. Coverage details, benefits, exclusions, and claims are governed by the insurer’s policy.

6) Client Responsibilities

To keep everything smooth and stress-free, please:

    •    Provide accurate legal names, dates of birth, and contact details exactly as they appear on government ID.

    •    Review all confirmations we send and notify us of any discrepancies within 24 hours.

    •    Ensure your passport and entry documents (visas, immunizations) meet destination requirements.

    •    Monitor airline schedules and check in on time; comply with destination health/safety rules.

    •    Share any accessibility needs or special requests early, so we can coordinate with suppliers.

7) Documentation, ID & Entry Requirements

    •    For international travel, your passport typically must be valid for at least 6 months beyond your return date; some countries require blank visa pages.

    •    Visa/entry rules change; we’ll point you to official resources, but it’s ultimately your responsibility to verify and comply.

8) COVID-19 & Health Acknowledgment

Destinations and suppliers may have health requirements (vaccinations, testing, quarantine, etc.). These can change quickly. You agree to follow applicable rules and understand that resulting costs, delays, or denials of service are your responsibility. Travel protection may help with certain events—review policy terms.

9) Limits of Liability

    •    Suitable Adventures is not the provider of travel services. We are not liable for acts, errors, or omissions of suppliers or for events beyond our control (e.g., strikes, weather, pandemics, government actions, schedule changes, or personal circumstances).

    •    If a supplier becomes unable to perform (bankruptcy, operational issues, etc.), remedies are limited to what that supplier offers.

    •    To the fullest extent allowed by law, our liability is limited to the amount of agency fees you paid directly to us (if any).

10) Special Requests & Accessibility

We’re happy to pass along requests (adjacent rooms, bedding type, dietary needs, mobility access). These are not guaranteed and depend on supplier availability.

11) Photo/Story Sharing & Marketing Mentions

We love celebrating your travels! From time to time, we may ask to share non-identifying trip highlights, testimonials, or photos. We’ll always get your permission first. (Our signed Client Agreement includes an optional consent you can say yes or no to—no pressure.)

12) Communication Consent

By inquiring or booking, you consent to receive booking-related emails, texts, or phone calls. You can opt out of marketing messages at any time.

13) Changes to These Terms

We may update these Terms periodically. Posting revised Terms on this page constitutes notice. The version in effect when you book will generally apply to that booking.

14) Governing Law

These Terms are governed by the laws of the State of Illinois, without regard to conflict-of-law principles.
