EPIC Expeditions and Events, Inc. Terms and Conditions

1. COMPANY INFORMATION

EPIC Expeditions and Events, Inc. is a Texas-based S-Corporation operating under the trade name 3E

Travel. Our principal office is located at: 812 Fairview Street, Fort Worth, TX 76111.

2. SERVICES PROVIDED

We offer full-service travel planning, bookings through host agency suppliers, concierge support, on-site

group and event coordination, and destination event planning.

3. PLANNING FEES & PAYMENT TERMS

All planning fees are non-refundable and due before any proposal is provided. Fees are $100 per person for

cruises/resorts, air booking, or any international services not covered by the original supplier. Payments are

securely collected and applied to the card on file. Funds are sent directly to the travel supplier.

4. CANCELLATION & CHANGES

Cancellations must be submitted in writing. We assist with processing through suppliers, but final

responsibility lies with the client. Supplier re-pricing is by request only.

5. REFUNDS

Refunds are subject to supplier policies. We are not liable for suppliers' failure to process refunds. Travel

insurance is required or must be waived in writing.

6. TRAVEL INSURANCE & LIABILITY

Clients must purchase travel insurance or sign a waiver. Those who decline assume all risk.

7. PASSPORTS, VISAS & DOCUMENTATION

Clients are responsible for ensuring they have proper documentation. We may assist with guidance, but

compliance is the client's responsibility.

8. SERVICE LIMITATIONS & FORCE MAJEURE

We are not responsible for disruptions due to weather, acts of God, war, strikes, or other supplier-related

issues.

9. CLIENT COMMUNICATION

We can be reached via email, phone, our website, or the client portal. Responses are typically within 24-48

hours, Monday-Friday, 9am-5pm CT.

10. SUPPORT DURING TRAVEL

We offer ongoing support during travel. However, we are not responsible for third-party issues outside our

control.

11. LIABILITY & WAIVER

Clients agree to release EPIC Expeditions and Events, Inc. from liability for damages, injuries, or losses

related to travel services.

12. DISPUTE RESOLUTION

All disputes shall be resolved via mediation or arbitration in Texas, under the laws of the State of Texas.

13. PRIVACY & DATA PROTECTION

We collect sensitive client data (e.g. passport info, medical data) only as needed to fulfill bookings. We do not

share this data with third parties beyond suppliers.

14. ACCEPTANCE OF TERMS

By using our services and submitting payment, clients agree to all the above terms and conditions.
