Beyond Travel Co. Terms and Conditions

Beyond Travel, LLC (“Beyond Travel”) provides professional travel planning and booking services. Clients are encouraged to carefully review all supplier contracts, understand applicable terms and conditions, and consider travel insurance to protect against unforeseen circumstances. By engaging Beyond Travel’s services, you acknowledge and agree to the following Terms & Conditions.

PROFESSIONAL PLANNING & SERVICE FEES

Beyond Travel charges professional planning and service fees for consultation, research, itinerary design, supplier coordination, booking management, documentation support, and ongoing travel assistance.

PLANNING FEE STRUCTURE

Planning fees are assessed based on the complexity of the requested travel and are disclosed prior to the commencement of planning services.

Custom / International Travel (FIT):

$395 – Single destination or limited complexity

$595 – Multi-city or moderately complex itineraries

$795 – Luxury, extended, or highly complex travel

Cruise Planning:

$295 per stateroom (standard itineraries)

$395–$495 for complex cruise planning (multi-cabin families, back-to-back sailings, extensive pre/post travel)

Group Travel & Retreats:

Planning fees are built into group pricing and margins. Individual group participants are not charged separate planning fees.

Fee Policy​

Planning fees are non-refundable once planning has begun. ​Planning fees compensate Beyond Travel for professional time, research, expertise, and service, and are separate from supplier pricing and commissions. Pay​ment of a planning fee does not obligate the Client to book travel. ​Planning fees are subject to change without notice and apply to new inquiries only.

PAYMENTS & AUTHORIZATION

The undersigned confirms they have authority to act on behalf of all travelers listed in the booking and authorize Beyond Travel to charge the provided payment method for planning fees, deposits, balances, supplier charges, and any additional authorized amounts.

Credit cards are strongly recommended to protect the client’s investment.

CANCELLATIONS & REFUNDS

Beyond Travel does not guarantee refunds from any travel supplier. All cancellations, refunds, credits, and penalties are governed by the individual supplier’s terms and conditions.

Supplier penalties may include partial or full loss of funds. Clients are responsible for reviewing and understanding supplier cancellation policies prior to booking.

Professional planning fees are non-refundable and are not affected by supplier cancellations, refunds, or future travel credits. Changes after initial booking may incur additional planning fees.

TRAVEL INSURANCE

Clients are strongly encouraged to purchase comprehensive travel insurance to help protect against supplier penalties, medical emergencies, trip interruptions, or other unexpected events.

While Beyond Travel is not a licensed insurance agent, we may assist clients with purchasing travel insurance policies offered by third-party providers at the client’s request. Coverage, benefits, exclusions, and claims are solely governed by the insurance provider’s policy terms. Beyond Travel does not evaluate the suitability of coverage and makes no representations regarding policy benefits.

DOCUMENTATION & IDENTIFICATION

Each traveler is responsible for obtaining and carrying proper travel documentation, including government-issued identification, passports, visas, and health documentation where required.

Passports must typically be valid for six (6) months beyond return travel dates and contain sufficient blank pages. Entry requirements vary by destination and are subject to change.

Beginning May 7, 2025, travelers must present a REAL ID-compliant driver’s license or passport for domestic air travel within the United States.

When minors travel internationally without both legal guardians, additional documentation and consent requirements may apply. Failure to obtain proper documentation may result in denied boarding or entry, for which Beyond Travel is not responsible.

FLIGHTS

Airline policies regarding baggage, seating, upgrades, changes, refunds, and fare rules vary and are subject to change. Clients are responsible for reviewing airline policies directly.

Basic Economy fares may carry significant restrictions, including non-refundability, limited baggage allowances, and seat assignment limitations.

CRUISES & TOURS

Clients are strongly encouraged to arrive at cruise or tour departure cities at least one (1) day prior to departure.

Cruise lines and tour operators may impose fuel surcharges, itinerary changes, health questionnaires, and pre-travel registration requirements at any time.

Alaska & Canada Cruise Restrictions

For cruises visiting Canada (including Alaska itineraries), travelers may be denied boarding or entry due to prior criminal convictions, including DUI offenses, even if the incident occurred many years ago. Travelers with unpaid child support obligations may also be denied entry. Clients are responsible for determining admissibility and are encouraged to seek legal counsel if unsure.

Pregnancy & Cruise Travel

Most cruise lines restrict travel for pregnant guests who will be 24 weeks pregnant or further at any point during the cruise. Policies vary by cruise line and are strictly enforced. It is the traveler’s responsibility to confirm pregnancy policies prior to booking.

TRAVEL WARNINGS & HEALTH ADVISORIES

Clients agree to review travel warnings, advisories, and health notices issued by the U.S. Department of State and the Centers for Disease Control prior to travel.

Beyond Travel is not responsible for monitoring destination safety conditions, vaccination requirements, or health risks.

DISCLAIMER OF LIABILITY

Beyond Travel acts solely as an agent for independent travel suppliers and is not responsible for their acts, omissions, financial stability, or performance.

Clients voluntarily assume all risks associated with travel, including delays, cancellations, health risks, weather events, governmental actions, supplier failures, or denied entry due to documentation or legal issues.

Travel involves inherent risks. Client voluntarily assumes all risks associated with travel, including but not limited to illness, injury, delays, supplier failure, acts of nature, or governmental actions.

Beyond Travel is n​ot be liable for: • Acts or omissions of third-party suppliers • Travel disruptions beyond our control • Loss, damage, or injury incurred during travel • Our liability, if any, is limited to the amount of planning fees paid directly to Beyond Travel.

CHARGEBACKS & PAYMENT DISPUTES

Clients agree not to initiate chargebacks or payment disputes for professional services rendered. In the event of a chargeback, the client remains responsible for all planning fees, administrative costs, and any penalties incurred by Beyond Travel.

CLIENT RESPONSIB​ILITIES

• ​Review all documents carefully upon receipt

• ​Adhere to payment and deadline requirements

• ​Communicate changes promptly

F​ailure to do so may result in penalties or loss of travel arrangements.

FORCE MAJEURE​

Beyond Travel shall not be responsible for failure to perform due to events beyond our control, including but not limited to natural disasters, pandemics, government actions, strikes, or supplier insolvency.

GOVERNING LAW

These Terms shall be governed by and construed in accordance with the laws of the State of North Carolina, without regard to conflict of law principles.

ACKNOWLEDGMENT & ACCEPTANCE

By submitting a trip request form, authorizing payment, or proceeding with a booking, the client acknowledges that they have reviewed, understand, and agree to these Terms & Conditions on behalf of all travelers in their party.
