These Terms and Conditions (“Terms”) govern the relationship between Castle and Compass Adventures, LLC (“Castle and Compass Adventures,” “we,” “us,” or “our”) and any client (“you” or “Traveler”) who inquires about, purchases, or travels on any trip, tour, cruise, package, or related travel services arranged by us. By paying a deposit, signing an authorization, or otherwise instructing us to purchase travel services on your behalf, you acknowledge that you have read, understood, and agree to be bound by these Terms.

1. Parties & Relationship

1.1 Castle and Compass Adventures, LLC is an independently owned and operated travel agency located in St. Cloud, FL, specializing in custom itineraries, cruises, tours, and vacation packages.

1.2 Castle and Compass Adventures is an independent contractor travel advisor affiliated with Travel Planners International, LLC (“TPI”), a host agency. TPI provides back-office and host-agency support services to Castle and Compass Adventures. TPI is not a party to your agreement with Castle and Compass Adventures and is not responsible for the day-to-day advice, recommendations, or representations made by your individual travel advisor.

1.3 Castle and Compass Adventures acts solely as a sales agent for third-party suppliers, including but not limited to: cruise lines, tour operators, hotels, airlines, ground transportation providers, insurance companies, and other travel-related vendors (“Suppliers”).

1.4 Each Supplier is an independent entity and not owned, managed, or controlled by Castle and Compass Adventures or TPI.

2. Acceptance of Terms

2.1 These Terms apply to all bookings made through Castle and Compass Adventures, whether in person, by phone, email, website, or other communication.

2.2 If you are booking on behalf of other travelers (family, group, etc.), you represent that you are authorized to accept these Terms on their behalf and are responsible for ensuring they receive all relevant documentation.

3. Supplier Terms & Conditions

3.1 All travel services you purchase are subject to the individual terms and conditions of each Supplier, which may include rules regarding deposits and final payments, changes and cancellations, refunds and non-refundable amounts, baggage allowances and fees, check-in times and documentation, and health, safety, and conduct requirements.

3.2 You are responsible for reviewing and complying with all applicable Supplier terms. Where there is a conflict between these Terms and a Supplier’s terms, the Supplier’s terms will control with respect to the specific service they provide.

3.3 Castle and Compass Adventures is not responsible if you fail to read, understand, or comply with Supplier requirements.

4. Quotes, Pricing & Availability

4.1 All prices are subject to change at any time prior to payment and confirmation by the Supplier. Quotes do not guarantee availability or pricing until your payment is processed and the Supplier issues confirmation.

4.2 Prices are typically per person and may be based on double occupancy, specific room categories, cruise cabin types, or other assumptions. Changes to the number of travelers, room type, or sailing may affect pricing.

4.3 Unless explicitly stated in writing, prices are not guaranteed until full payment is received and confirmed by the Supplier, and do not include items such as travel insurance, airline baggage fees, resort fees, gratuities, incidentals, optional excursions, or other personal expenses.

4.4 Castle and Compass Adventures is not responsible for fare increases due to delays in payment, Supplier-imposed surcharges, or changes in government taxes, fees, or fuel charges.

5. Payments, Deposits & Late Payments

5.1 Payment schedules, deposit amounts, and final payment dates are determined by the Supplier and will be communicated to you by Castle and Compass Adventures based on information provided by the Supplier.

5.2 Deposits are often non-refundable and may be non-transferable according to Supplier policies.

5.3 Failure to make payment by the stated due date may result in automatic cancellation of your reservation by the Supplier, with partial or full loss of funds already paid.

5.4 Castle and Compass Adventures may charge agency service fees (for example: planning fees, change fees, cancellation administration fees, research fees). These agency fees are separate from Supplier costs and are non-refundable once services have been performed, even if your trip is later changed or cancelled.

5.5 You authorize Castle and Compass Adventures and/or the Supplier to charge your credit card(s) for agreed-upon travel arrangements, including any applicable fees.

6. Changes, Cancellations & Refunds

6.1 All changes and cancellations are governed by the Supplier’s policies. Many Suppliers treat reservations as largely or fully non-refundable after certain dates.

6.2 If you request a change or cancellation, you must do so in writing (email is acceptable) and during normal business hours. The effective date of any change or cancellation will be the date it is received by Castle and Compass Adventures and acknowledged, subject to Supplier rules.

6.3 Castle and Compass Adventures may charge additional agency fees for changes or cancellations, separate from any Supplier fees.

6.4 Refunds, when permitted by the Supplier, are processed by the Supplier and not by Castle and Compass Adventures. We will assist in communicating with the Supplier but cannot guarantee the approval, timing, or amount of any refund. Agency service fees are not refundable.

6.5 “No-shows” are typically non-refundable and may forfeit the entire cost of the reservation.

7. Travel Documents, Identification & Entry Requirements

7.1 You are solely responsible for ensuring that all travelers have the required passports (often valid for at least six months beyond travel dates), visas, vaccination or health documentation, and any other entry/exit documents required by the destination(s), airline, or cruise line.

7.2 Travelers with criminal records or other special circumstances are responsible for determining whether they are eligible for entry.

7.3 Castle and Compass Adventures may provide general information as a courtesy but does not guarantee accuracy of immigration, customs, or health requirements. These requirements can change at any time.

7.4 Failure to comply with identification or entry rules may result in denied boarding or refusal of entry, with no refund.

8. Travel Insurance / Travel Protection

8.1 Castle and Compass Adventures strongly recommends that you purchase comprehensive travel protection, which may include coverage for trip cancellation, trip interruption, medical expenses, emergency evacuation, baggage loss/delay, and other events.

8.2 Unless specifically stated in writing, travel insurance is not included in your package and must be purchased separately.

8.3 You acknowledge that if you decline travel insurance, you may be responsible for significant financial losses in the event of cancellation, interruption, illness, injury, or other unforeseen events.

8.4 All insurance claims are processed by the insurance company according to their policy terms. Castle and Compass Adventures is not responsible for insurance determinations or outcomes.

9. Health, Safety & Travel Risks

9.1 Travel involves inherent risks, including illness, injury, crime, terrorism, civil unrest, natural disasters, pandemics, and other hazards.

9.2 You are responsible for assessing your personal health and fitness to travel; consulting your physician regarding vaccinations or medical advice; and reviewing relevant travel advisories (such as those from the U.S. Department of State and the Centers for Disease Control and Prevention).

9.3 Castle and Compass Adventures is not responsible for changes in travel advisories, decisions by you or the Supplier related to health or safety, or any consequences arising from your decision to travel or not travel.

10. Limitation of Liability & Release

10.1 Castle and Compass Adventures and TPI do not own or operate any of the Suppliers providing transportation, accommodations, tours, activities, or other services related to your trip.

10.2 To the fullest extent permitted by law, you agree that Castle and Compass Adventures, its owners, members, employees, contractors, and TPI will not be liable for any act, error, omission, injury, loss, damage, accident, or irregularity caused by any Supplier or other third party; any personal injury, death, illness, property damage, or other loss resulting from circumstances beyond our direct control; or acts of God, force majeure, government actions, strikes, epidemics/pandemics, or other events beyond our control.

10.3 In no event shall Castle and Compass Adventures’ total liability exceed the amount of agency service fees you have paid directly to Castle and Compass Adventures for the specific booking in question.

10.4 By booking through Castle and Compass Adventures, you voluntarily assume all risks associated with your travel arrangements and agree to release, indemnify, and hold harmless Castle and Compass Adventures and TPI from any claims arising from your trip, except where prohibited by law.

11. Client Responsibilities

You agree to:
- Provide accurate and complete information for all travelers.
- Review all confirmations, invoices, and documents promptly and report any discrepancies within 24–48 hours.
- Pay all amounts due by the stated deadlines.
- Comply with Supplier rules regarding conduct, check-in times, documentation, and health/safety requirements.
- Check airline schedules, flight changes, and gate information prior to travel.
- Reconfirm hotel, tour, and transfer times as needed.

12. Credit Card Authorization & Chargebacks

12.1 When you provide a credit card for payment, you authorize Castle and Compass Adventures and/or the Supplier to charge the card for the agreed travel services and applicable fees.

12.2 You agree not to file a chargeback with your credit card company for any properly authorized transaction. If you believe a charge is incorrect, you agree to contact Castle and Compass Adventures first to attempt to resolve the issue.

12.3 Unauthorized chargebacks (including those filed for non-refundable services that were properly disclosed) will be treated as a breach of these Terms, and you may be responsible for any related fees, costs, or damages.

13. Privacy & Communications

13.1 Castle and Compass Adventures collects and uses personal information solely for the purposes of arranging and servicing your travel.

13.2 By booking with us, you consent to receive necessary communications related to your trip (via email, phone, text, or other means) and, where permitted by law, occasional marketing messages. You may opt out of marketing at any time.

13.3 We share your information only as needed with Suppliers and service providers to fulfill your travel arrangements and as required by law.

14. Governing Law & Dispute Resolution

14.1 These Terms are governed by the laws of the State of Florida, without regard to its conflict of law principles.

14.2 Any dispute arising under or related to these Terms or your travel arrangements shall be brought in the state or federal courts located in [County], Florida, and you consent to the exclusive jurisdiction and venue of such courts.

14.3 If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

15. Role of Travel Planners International (Host Agency Disclosure)

15.1 Castle and Compass Adventures operates as an independent contractor travel advisor affiliate of Travel Planners International, LLC, a host travel agency.

15.2 TPI provides host-agency support, access to preferred Suppliers, and certain back-office services, but is not a party to your travel contract with Castle and Compass Adventures and has no direct responsibility or liability to you for the travel arrangements you book through Castle and Compass Adventures, except as may be required by law.

15.3 All communications regarding your reservations should be directed to Castle and Compass Adventures, unless you are specifically instructed otherwise.

17. Acknowledgment

By paying a deposit, providing payment information, signing an authorization, or instructing Castle and Compass Adventures to proceed with a booking, you acknowledge that you have read, understood, and agree to these Terms and Conditions; agree to be bound by Supplier terms and conditions; and accept the limitations of liability and risk allocation described above
