Acorde Travel
Terms & Conditions
Thank you for trusting Acorde Travel with your plans. We believe thoughtful travel begins long before departure, and we're committed to making your planning experience as seamless, personalized, and enjoyable as the journey itself.
Please carefully review these Terms & Conditions before authorizing any travel arrangements. By accepting these terms, requesting a booking, or authorizing payment after receiving them, you acknowledge your understanding of the responsibilities, policies, and conditions outlined below.
These Terms & Conditions establish the relationship between Acorde Travel ("Acorde," "we," "us," or "our") and the individual purchasing or arranging travel ("Client," "Traveler," "you," or "your").
1. Our Role as Your Travel Advisor
Acorde Travel provides professional travel planning, consultation, reservation, and coordination services.
We work with independent travel suppliers, including but not limited to hotels, resorts, cruise lines, airlines, tour operators, destination management companies, transportation providers, and excursion operators (collectively, "Suppliers").
Acorde Travel acts as an intermediary and booking agent for these independent Suppliers and does not directly own, operate, manage, or control the travel services they provide.
Each Supplier maintains its own policies, terms, conditions, and operational responsibilities. By authorizing a reservation, you agree to comply with the applicable Supplier's terms, including payment requirements, cancellation policies, and restrictions.
Acorde Travel is not responsible for travel arrangements booked independently by the Client or through another agency or provider.
Clients must be at least 18 years of age and legally authorized to make reservations and financial commitments on behalf of themselves and any additional travelers included in their booking.
The individual coordinating a reservation on behalf of multiple travelers is responsible for sharing relevant booking information, requirements, and applicable terms with those travelers.
2. Trip Design Services & Professional Fees
Acorde Travel may charge professional fees for travel consultation, research, itinerary development, custom trip design, reservation management, or other specialized services.
Fees are determined individually based on the scope, complexity, and requirements of each travel request.
Before any applicable professional fee is charged, Acorde Travel will disclose the amount, services included, payment requirements, and any applicable refund or cancellation conditions.
Professional fees are separate from the cost of travel arrangements and may not be included in Supplier quotes.
Additional services, substantial itinerary modifications, or requests outside the originally agreed-upon scope may result in additional fees, which will be disclosed before being charged.
Payment of a professional fee does not guarantee Supplier availability, pricing, or reservation confirmation.
3. Reservations, Pricing & Availability
All travel proposals, quotes, and itineraries are subject to availability until confirmed by the applicable Supplier.
Prices, promotional offers, taxes, fees, inclusions, and availability may change without notice before a reservation is confirmed.
Acorde Travel reserves the right to correct inadvertent pricing errors, omissions, or inaccuracies in proposals and communications.
Supplier-imposed changes to pricing, taxes, fuel surcharges, or other mandatory charges may affect the final cost of travel.
A reservation is considered confirmed only when the applicable Supplier issues confirmation.
Clients are responsible for reviewing reservation details, including traveler names, dates, accommodations, transportation, and included services, immediately upon receipt.
Any discrepancy should be reported to Acorde Travel as soon as possible. Delays in reporting errors may result in additional costs or limitations on available corrections.
4. Payments & Payment Authorization
Before payment is authorized, Acorde Travel will communicate the amount due, applicable payment deadlines, and any disclosed professional or service fees.
By providing payment authorization, you authorize Acorde Travel to submit the approved payment information to the appropriate Supplier or authorized payment processor for the specified transaction.
Travel Suppliers may process payments directly and appear as the merchant on your financial statement.
Acorde Travel will not knowingly submit charges beyond those authorized by the Client.
Clients are responsible for ensuring sufficient funds or available credit and for completing payments by the required deadlines.
Failure to submit payment on time may result in cancellation, loss of availability, changes in pricing, or forfeiture of deposits or other amounts paid, subject to applicable Supplier policies and law.
Clients are responsible for applicable taxes, Supplier fees, currency conversion charges, and foreign transaction fees assessed by financial institutions.
If a charge appears incorrect, please contact Acorde Travel promptly so we can help investigate. Nothing in these Terms & Conditions restricts your lawful rights to dispute unauthorized or incorrect charges.
5. Changes, Cancellations & Refunds
Travel arrangements are subject to the cancellation, modification, and refund policies established by each Supplier.
Certain reservations may be partially or entirely nonrefundable, including deposits, promotional fares, special event tickets, and other restricted travel products.
Requests to change or cancel confirmed reservations should be submitted to Acorde Travel in writing.
Acorde Travel will make reasonable efforts to assist with eligible modifications, cancellations, and refund requests. However, changes are not guaranteed and remain subject to Supplier availability, policies, and applicable law.
Additional charges may apply when modifying confirmed arrangements, including Supplier penalties, fare differences, and separately disclosed Acorde Travel service fees.
Refund eligibility and processing timelines are generally determined by the Supplier and applicable law.
Acorde Travel cannot guarantee the timing or approval of refunds controlled by independent Suppliers.
Unused travel services may not qualify for refunds or credits.
If a Supplier cancels or materially changes a reservation, Acorde Travel will assist the Client in understanding available alternatives and applicable refund rights.
Nothing in these terms waives any nonwaivable consumer protection or refund rights under applicable law.
6. Travel Documents & Identification
Each Traveler is responsible for obtaining, maintaining, and carrying all documentation required for their journey.
Depending on the destination and itinerary, required documents may include:
- Valid passports
- Government-issued identification
- Visas and electronic travel authorizations
- Vaccination or health documentation
- Parental consent or custody documentation for minors
- Other destination-specific entry or transit documentation
Passport validity requirements vary by destination, and some countries require passports to remain valid for a specified period beyond the intended travel dates.
Travelers are responsible for ensuring that names and personal details on reservations accurately match their required identification and travel documents.
Acorde Travel may provide general information or direct Clients to official resources; however, Travelers are responsible for confirming current requirements with appropriate government authorities, transportation providers, and Suppliers.
Acorde Travel is not responsible for denied boarding, refused entry, or financial losses resulting from missing, invalid, inaccurate, or insufficient documentation, except to the extent caused by Acorde Travel's own legally actionable conduct.
7. International Entry & Exit Requirements
Entry, transit, and exit requirements vary by destination and may depend on citizenship, residency, travel history, visa status, and other individual circumstances.
Certain destinations may impose restrictions related to prior criminal convictions or other eligibility criteria.
Travelers are responsible for determining whether any individual circumstances may affect their ability to enter, transit through, or depart a destination.
Acorde Travel does not provide immigration or legal advice and cannot guarantee admission into any country.
Travelers should consult official government authorities or qualified professionals when questions arise regarding individual eligibility.
8. Health, Vaccinations & Accessibility
Travelers are responsible for understanding and complying with applicable health, vaccination, and medical entry requirements.
Health regulations and destination requirements may change before or during travel.
Travelers should consult qualified medical professionals regarding vaccinations, medications, mobility considerations, and other health-related travel concerns.
Clients are encouraged to communicate accessibility needs, dietary restrictions, and special accommodation requests as early as possible.
Acorde Travel will make reasonable efforts to communicate these requests to the appropriate Suppliers, but fulfillment remains subject to Supplier capabilities, confirmation, and applicable law.
Special requests, including room locations, bedding configurations, connecting rooms, dietary accommodations, and accessibility-related services, are not guaranteed unless expressly confirmed by the Supplier.
9. Travel Safety & Destination Risks
Travel inherently involves risks, including illness, accidents, weather events, transportation disruptions, political instability, natural disasters, and other unexpected circumstances.
Travelers are encouraged to review current destination information and travel advisories before departure.
For international travel, U.S. citizens may consult the U.S. Department of State and consider enrolling in the Smart Traveler Enrollment Program (STEP).
Travelers are responsible for evaluating their personal comfort with destination conditions and following applicable safety guidance.
The availability or recommendation of a destination or travel experience does not constitute a guarantee that travel is free from risk.
Acorde Travel is not responsible for circumstances beyond its reasonable control, subject to applicable law and the limitations described in these terms.
10. Air Travel & Transportation
Airline reservations are subject to the operating carrier's conditions of carriage, fare rules, and applicable regulations.
Airlines may modify schedules, aircraft, routes, seat assignments, baggage allowances, and other operational details.
Travelers are responsible for monitoring flight status, complying with check-in requirements, and arriving at airports with sufficient time for security and boarding procedures.
Failure to board a scheduled flight may affect subsequent flights or reservations, including return segments.
Seat assignments, upgrades, baggage privileges, and other airline benefits are subject to carrier policies and may change.
Acorde Travel will provide reasonable assistance with eligible flight-related issues when possible; however, airlines retain responsibility for operating their services and fulfilling applicable legal obligations.
Airline refunds, credits, and rebooking rights are governed by the applicable fare rules, carrier policies, and law.
11. Loyalty Programs, Rewards & Benefits
Participation in hotel, airline, cruise, and other travel loyalty programs is subject to each program's terms and eligibility requirements.
The ability to earn or redeem points, miles, elite-night credits, qualifying stays, or other loyalty benefits may vary depending on the Supplier, reservation channel, rate type, and individual program rules.
Acorde Travel will make reasonable efforts to include eligible loyalty information when provided by the Client.
However, Acorde Travel cannot guarantee the accrual of points, miles, qualifying nights, upgrades, or recognition of elite status.
Clients are responsible for verifying that loyalty account information is accurate and for contacting the applicable loyalty program regarding missing or disputed benefits.
12. Travel Insurance & Protection
Acorde Travel strongly recommends that all Travelers consider appropriate travel insurance to help protect against unforeseen circumstances and financial losses.
Depending on the policy, travel insurance may provide coverage for certain events, including:
- Trip cancellation or interruption
- Travel delays and missed connections
- Medical emergencies
- Emergency medical transportation or evacuation
- Lost, stolen, or delayed baggage
- Other covered travel-related expenses
Coverage varies by policy, insurer, eligibility, exclusions, and purchase deadlines.
Travel insurance is not automatically included in travel arrangements unless expressly stated.
Certain benefits may require purchase within a specified period following an initial trip deposit.
Travelers are responsible for reviewing policy documents and understanding applicable coverage limitations.
Acorde Travel does not guarantee insurance eligibility, claim approval, or reimbursement.
If a Client declines recommended travel insurance, Acorde Travel may request written acknowledgment confirming that the Client understands the potential financial risks associated with traveling without coverage.
Declining travel insurance does not eliminate Supplier cancellation penalties or other financial obligations.
Questions regarding specific insurance coverage, exclusions, or claims should be directed to the licensed insurance provider or an appropriately authorized insurance professional.
13. Assistance During Travel
Acorde Travel is committed to providing thoughtful service and reasonable assistance before, during, and after your journey.
If an issue arises during travel, Clients should first contact the appropriate Supplier, property management team, transportation provider, or designated emergency contact when immediate assistance is required.
Clients are encouraged to notify Acorde Travel of significant disruptions so we can provide reasonable support, help communicate with Suppliers, or assist in exploring available alternatives.
Acorde Travel is not an emergency response service and does not guarantee continuous, around-the-clock availability.
Immediate safety, medical, or security emergencies should be directed to local emergency services or appropriate authorities.
Additional expenses resulting from changes, disruptions, or alternative arrangements remain the Client's responsibility unless covered by the Supplier, applicable insurance, or law.
Travelers should retain receipts, written correspondence, and supporting documentation for potential claims or reimbursement requests.
14. Client Responsibilities & Conduct
Travelers are expected to comply with applicable laws, Supplier policies, safety instructions, and reasonable conduct requirements throughout their journey.
Clients are responsible for personal belongings and for damages or losses they cause, subject to applicable law.
Suppliers may refuse service or remove Travelers whose conduct violates applicable policies or legal requirements.
Any resulting costs, penalties, or forfeited travel services may be the Traveler's responsibility.
Acorde Travel is not responsible for the conduct of independent Suppliers or other Travelers, except as otherwise required by law.
15. Currency Fluctuations & Additional Charges
Travel prices involving foreign currencies may fluctuate due to changes in exchange rates.
Quoted prices may be subject to adjustments before confirmation, depending on Supplier policies and payment terms.
Clients may also incur foreign transaction fees, currency conversion charges, local tourism taxes, resort fees, gratuities, or other destination-specific expenses.
Acorde Travel will communicate known mandatory charges and material exclusions when reasonably available.
Additional expenses imposed by Suppliers, government authorities, or financial institutions remain subject to applicable terms and law.
16. Events Beyond Our Control
Certain circumstances may disrupt travel arrangements or prevent services from being delivered as originally planned.
These circumstances may include, but are not limited to, natural disasters, severe weather, pandemics, government restrictions, labor disruptions, civil unrest, war, transportation interruptions, and other events beyond the reasonable control of Acorde Travel.
When such events occur, Suppliers may modify, postpone, or cancel travel services in accordance with their policies and applicable law.
Acorde Travel will make reasonable efforts to communicate relevant information and assist Clients in exploring available alternatives.
However, Acorde Travel cannot guarantee the continuation of an itinerary, the availability of replacement services, or refunds beyond those required by applicable law or authorized by the responsible Supplier.
Nothing in this section excuses Acorde Travel from obligations that cannot legally be excluded.
17. Independent Supplier Responsibility & Limitations
Acorde Travel arranges travel services through independent Suppliers and does not directly control their operations, staffing, equipment, policies, or service delivery.
Each Supplier is responsible for performing the travel services it agrees to provide.
To the extent permitted by applicable law, Acorde Travel is not liable for acts, omissions, delays, cancellations, service failures, or other circumstances attributable solely to independent Suppliers or events beyond Acorde Travel's reasonable control.
This may include, without limitation, transportation delays, accommodation issues, itinerary changes, Supplier insolvency, baggage problems, or disruptions affecting scheduled services.
Acorde Travel remains responsible for its own obligations and for liability that cannot legally be excluded or limited.
Nothing in these Terms & Conditions is intended to waive nonwaivable rights or remedies available to Clients under applicable law.
18. Communications & Personal Information
Email is Acorde Travel's primary method of communicating proposals, reservation confirmations, payment deadlines, itinerary details, and important trip updates.
Clients are responsible for providing accurate contact information and monitoring the communication channels they designate.
Clients should notify Acorde Travel promptly of changes to their contact information or material travel details.
To arrange travel, Acorde Travel may need to collect and share relevant personal information with Suppliers, booking platforms, payment processors, or other authorized service providers.
Such information may include traveler names, birth dates, contact information, identification details, loyalty program numbers, and travel preferences.
Acorde Travel will use personal information for legitimate travel planning and reservation purposes, subject to applicable privacy laws and its published privacy practices.
Clients should provide sensitive payment or identification information only through communication or payment methods approved by Acorde Travel.
19. Changes to These Terms
Acorde Travel may update these Terms & Conditions periodically to reflect changes in business practices, Supplier requirements, or applicable regulations.
The most current version will be made available through Acorde Travel's designated communication channels or website.
Updates will generally apply prospectively and will not retroactively alter the agreed terms of an existing confirmed booking unless permitted by applicable law and appropriately communicated or agreed.
20. Governing Law & General Provisions
These Terms & Conditions are intended to be governed by the laws of the State of Tennessee, subject to applicable federal law and any mandatory consumer protection provisions.
Any dispute-resolution procedures, jurisdictional requirements, or limitations on legal claims must comply with applicable law.
If any provision of these Terms & Conditions is determined to be invalid or unenforceable, the remaining provisions will continue in effect to the extent permitted by law.
These Terms & Conditions, together with any applicable written service agreements, booking authorizations, and incorporated Supplier terms, establish the relevant conditions governing services provided by Acorde Travel.
Any waiver or modification of a material provision must be documented in writing by an authorized representative of Acorde Travel.
