1. ACCEPTANCE OF TERMS

By engaging our travel agency services, you, ("Client") agree to be bound by these Terms and Conditions. These terms constitute a legally binding agreement between you and D&D Woodman Travel ("Agency," "we," "us," or "our").

2. SERVICES PROVIDED

2.1 Travel Agency Services

We provide comprehensive travel services including:

·       Flight, hotel/resort, cruise, and transportation bookings

·       Package tour arrangements

·       Travel insurance sales and administration

·       Visa and documentation assistance

·       Itinerary planning and modifications

·       24/7 emergency travel support

·       Group travel coordination

2.2 Agent Capacity

We act as your authorized agent in making travel arrangements with airlines, hotels, tour operators, and other travel suppliers. We are licensed travel professionals and maintain appropriate industry certifications and bonds as required by law.

3. BOOKING AND RESERVATIONS

3.1 Booking Process

·       All bookings require written confirmation and deposit payment

·       Prices are subject to availability at time of booking

·       Reservations are not confirmed until full payment is received and supplier confirmation obtained

·       We reserve the right to decline any booking request

3.2 Pricing and Availability

·       Quoted prices are valid for 3 days unless otherwise specified

·       Prices may change due to currency fluctuations, fuel surcharges, taxes, or supplier rate changes

·       We will notify clients of any price increases before finalizing bookings

·       Availability is subject to supplier inventory and seasonal demand

3.3 Group Bookings

·       Group rates require minimum participation levels

·       Individual cancellations may affect group pricing

·       Group deposits are typically non-refundable

·       Final payment and rooming lists due 7 days before departure or at supplier’s discretion

4. PAYMENT TERMS

4.1 Payment Schedule

·       Deposits required at time of booking: as set by supplier and communicated to you

·       Final payment due at suppliers’ discretion

·       Service fees, if any, are charged separately and are non-refundable

4.2 Late Payment

·       We are not liable for supplier cancellation penalties or additional costs

·       Refund processing may take 30-60 days depending on supplier policies

5.3 Refund Processing

·       Refunds processed in same method as original payment

·       Refunds subject to supplier terms and processing timeframes

·       Administrative fees may apply to refund processing

6. TRAVEL DOCUMENTATION

6.1 Client Responsibility

Clients are solely responsible for:

·       Valid passports with adequate validity (typically 6+ months)

·       Obtaining required visas and entry permits

·       Meeting health and vaccination requirements

·       Compliance with customs and immigration regulations

·       Checking travel advisories and restrictions

6.2 Documentation Assistance

·       We provide guidance on documentation requirements

·       Visa processing services available for additional fees

·       We are not responsible for denied visa applications

·       Document requirements may change without notice

7. TRAVEL INSURANCE

7.1 Insurance Recommendation

We strongly recommend comprehensive travel insurance covering:

·       Trip cancellation and interruption

·       Medical expenses and evacuation

·       Baggage loss and delay

·       Travel delay and missed connections

7.2 Insurance Sales

·       We are licensed to sell travel insurance products

·       Insurance must be purchased within specified time frames for full coverage

·       Pre-existing medical conditions may require early purchase – usually within 14 days of deposit

·       We receive commissions from insurance sales

8. LIABILITY AND DISCLAIMERS

8.1 Limitation of Liability

Our liability is limited to the total amount paid for our services. We are not liable for:

·       Supplier failures, bankruptcies, or service quality issues

·       Flight delays, cancellations, or schedule changes

·       Hotel overbooking or substandard accommodations

·       Personal injury, illness, or death during travel

·       Loss, theft, or damage to personal property

·       Consequential, indirect, or punitive damages

8.2 Supplier Responsibility

·       Airlines, hotels, and tour operators are independent contractors

·       We are not responsible for their acts, omissions, or negligence

·       Clients' rights against suppliers are governed by suppliers' terms and conditions

·       We will assist in resolving disputes but cannot guarantee outcomes

8.3 Travel Risks

Travel involves inherent risks including:

·       Transportation delays and mechanical failures

·       Accommodation quality variations

·       Destination safety and security issues

·       Weather-related disruptions

·       Political instability or civil unrest

·       Health and medical emergencies

9. FORCE MAJEURE

We are not liable for service disruptions caused by circumstances beyond our control:

·       Natural disasters, pandemics, or acts of God

·       Government actions, travel restrictions, or border closures

·       War, terrorism, or civil unrest

·       Supplier strikes or labor disputes

·       Technology failures or cyber attacks

10. CHANGES AND MODIFICATIONS

10.1 Client-Requested Changes

·       Changes to confirmed bookings subject to supplier policies

·       Change fees apply in addition to any fare/rate differences

·       Some bookings may be non-changeable or have severe restrictions

·       Changes during travel may incur premium charges

10.2 Supplier-Initiated Changes

·       Schedule changes by suppliers are beyond our control

·       We will assist in rebooking when possible

·       Additional costs for alternative arrangements are client responsibility

·       Compensation policies vary by supplier and jurisdiction

11. CONSUMER PROTECTION

11.1 Industry Regulations

We comply with applicable travel industry regulations including:

·       Michigan travel agent licensing requirements

·       Industry association standards and codes of conduct

·       Consumer protection bonding and insurance requirements

11.2 Complaint Resolution

·       Complaints should be submitted in writing within 30 days

·       We will investigate and respond within 7-10 business days

·       Unresolved complaints may be escalated to industry associations or regulatory bodies

12. PRIVACY AND DATA PROTECTION

      12.1 Information Collection

We collect personal information to:

·       Process bookings and provide travel services

·       Comply with security and regulatory requirements

·       Improve our services and marketing

     12.2 Information Sharing

We may share information with:

·       Travel suppliers to complete bookings

13.2 Emergency Support

·       24/7 emergency assistance available during travel

·       Additional fees may apply for after-hours emergency services

14. DISPUTE RESOLUTION
