Jennifer Ellis Travel Terms and Conditions

1. Introduction

By engaging the services of Jennifer Ellis Travel LLC (hereinafter Jennifer Ellis Travel), you agree to be bound by these Terms and Conditions. Please read them carefully before making any travel arrangements through us. These terms are specific to services provided by Jennifer Ellis Travel and do not supersede or replace any individual travel supplier’s terms and conditions.

2. Services Provided

Jennifer Ellis Travel offers travel planning and booking services, including but not limited to:

  • Itinerary design and customization
  • Flight, hotel, and transportation reservations
  • Cruise and tour bookings
  • Activity and excursion arrangements
  • Travel insurance assistance

3. Booking and Payment

  • To initiate a booking, you must provide accurate and complete information as requested.
  • Price quotes provided during the quoting process are estimates only and are subject to change without notice. They are not guaranteed and do not constitute a confirmed reservation. Prices for travel services are dynamic and can fluctuate based on various factors, including, but not limited to, availability, demand, currency exchange rates, airline fuel surcharges, hotel pricing adjustments, and government-imposed taxes and fees. We make reasonable efforts to provide accurate pricing information, but quoted rates are not binding. A reservation is only considered confirmed and the price guaranteed once you have received a booking confirmation from us. Until a reservation is confirmed, prices are subject to change and we are not obligated to honor any previously quoted price.
  • You are responsible for any applicable taxes, fees, and charges imposed by airlines, hotels, tour operators, and other suppliers.
  • Payment methods accepted include credit and debit cards.
  • By providing your payment information, you authorize Jennifer Ellis Travel to process payments to suppliers for the services you have requested. This may include charging your credit card or processing other forms of payment as agreed upon. We will only charge you for the services you have authorized us to book on your behalf.
  • In order for a reservation to be made and confirmed, you must make payments in accordance with the payment schedule and requirements specified by the travel supplier (e.g., airline, hotel, tour operator). We will inform you of these requirements, and it is your responsibility to adhere to them. Failure to make timely payments may result in the cancellation of your reservation and potential loss of any deposits paid. We are not responsible for reservations that are not confirmed due to your failure to comply with the supplier's payment requirements.

4. Cancellations and Refunds

  • Cancellation policies vary depending on the supplier (e.g., airline, hotel, tour operator). We will inform you of the specific cancellation policies at the time of booking.
  • Cancellations may be subject to cancellation fees imposed by the supplier. Jennifer Ellis Travel does not charge additional cancellation fees. 
  • Refunds, if applicable, will be processed according to the supplier's policies and may take several weeks to be issued.
  • We are not responsible for cancellations or changes made by suppliers. 

5. Travel Documents

  • You are solely responsible for ensuring that you have all necessary travel documents, including passports, visas, and any required health certificates. For international travel, many countries require that your passport is valid for at least six (6) months beyond your intended return date. Failure to meet this requirement may result in denied boarding or entry into a foreign country.
  • We can provide information regarding travel document requirements, but we are not responsible for any issues arising from incorrect or insufficient documents. 

6. Travel Insurance

  • We strongly recommend that you purchase comprehensive travel insurance to cover potential risks such as trip cancellations, medical emergencies, lost baggage, and other unforeseen circumstances.
  • We can provide information about travel insurance options, but the final decision to purchase insurance rests with you.

7. Liability

  • Jennifer Ellis Travel acts as an agent for suppliers and is not responsible for their acts or omissions. This includes, but is not limited to, changes in schedules, cancellations, overbooking, service disruptions, and financial failure of the supplier. While we will provide reasonable assistance in resolving issues with suppliers, we cannot be held liable for their actions.
  • We are not liable for any injury, loss, damage, or delay arising from your travel arrangements, including but not limited to:
  • Acts of God
  • Force majeure
  • Supplier defaults
  • Changes in schedules
  • Medical issues
  • Political unrest
  • Our liability is limited to the amount you paid for our services.

8. Client Responsibilities

  • You are responsible for providing accurate and complete information.
  • You are responsible for reviewing all travel documents and confirming their accuracy.
  • You are responsible for adhering to the terms and conditions of suppliers.
  • You are responsible for your own safety and well-being during travel.

9. Communication

  • We will communicate with you primarily via email and phone, as well as through the travel planning software Tern.
  • Please ensure that you provide us with your current contact information.
  • While we strive to provide excellent customer service, we are not obligated to respond to communications outside of our normal business hours, which are Monday-Friday, 9:00 AM - 5:00 PM EST. We will make reasonable efforts to address urgent matters outside of these hours, but we cannot guarantee immediate responses. In the event of a true emergency during your trip, please contact the relevant travel supplier (e.g., airline, hotel) or your travel insurance provider directly.

10. Choice of Law and Forum

These Terms and Conditions shall be governed by and construed in accordance with the laws of the Commonwealth of Massachusetts, exclusive of its choice of law rules. The state and federal courts located in the Commonwealth of Massachusetts shall have jurisdiction over all matters relating to this Agreement.

11. Severability

In the event any provision of these Terms and Conditions is determined to be void or unenforceable, such determination shall not affect the remainder of this Agreement, which shall continue to be in force.

12. Changes to Terms and Conditions

Jennifer Ellis Travel reserves the right to modify these Terms and Conditions at any time. The most current version of these terms and conditions will be available on jenniferellistravel.com.
