These Terms and Conditions ("Terms") are an agreement between InRuta Travel, LLC ("we," "us," or "our") and you ("you" or "Traveler"). By using our services, making a payment, or signing electronically, you agree to these Terms for yourself and everyone in your booking group. We may update these Terms occasionally. The latest version will always be available on our website at www.inruta.com. If you continue to use our services after any changes, it means you accept the new Terms.
1. Definitions
- Agency: InRuta Travel, LLC.
- Traveler: The person or people using our services.
- Suppliers: Independent companies like airlines, hotels, tour operators, transportation providers, and activity operators.
- Travel Services: Services provided by Suppliers, such as accommodations, flights, cruises, car rentals, tours, and activities.
- Booking Services: Services we provide to help you book and manage Travel Services.
2. Scope of Services
We offer professional travel planning, booking, and management services, including:
- Personalized trip planning and consultation.
- Researching and recommending travel options.
- Booking and managing all parts of your trip.
- Support before, during, and after your travel.
3. Eligibility
By using our services, you confirm that:
- You are at least 18 years old and have the legal authority to enter into this agreement.
- All information you provide is true, accurate, and complete.
- You will use our services according to these Terms.
- You will inform others in your booking group about these Terms and ensure they follow them.
4. Our Responsibilities
4.1 For-Profit Model
- We charge professional planning fees, receive commissions from Suppliers, and may charge transaction fees.
- Costs for travel items like flights and hotels are billed separately from our planning and service fees.
4.2 Supplier Independence
- Suppliers are independent companies, not our agents or employees.
- We are not responsible for Suppliers' actions, mistakes, or problems, including pricing errors or cancellations.
- Prices from Suppliers are not guaranteed until payment is made. Prices in foreign currency may change due to exchange rate fluctuations.
4.3 Data Protection
- We take reasonable steps to protect your data.
- Our staff signs agreements to keep your information confidential.
- We do not store sensitive information like PINs or passwords.
5. Your Responsibilities
5.1 Acceptance of Terms
By making a payment or signing electronically, you accept these Terms for yourself and everyone in your booking group.
5.2 Documentation
- You must provide accurate documents like passports, visas, and frequent flyer numbers.
- You are responsible for meeting all entry requirements for your destinations.
- We can guide U.S. citizens on visa and passport needs if we book your flights.
- You are responsible for getting visas and other travel documents.
5.3 Health and Safety
- Consult health professionals about vaccines and follow health advisories.
- We strongly recommend buying travel insurance within 21 days of your first payment.
5.4 Booking Accuracy
- Review all booking details promptly.
- Inform us immediately of any errors or changes needed.
- We are not responsible for errors reported after confirmation.
5.5 Compliance with Laws
You must follow all laws and rules of the countries you visit, including customs, immigration, and health regulations.
6. Fee Structure
Our planning fees are non-refundable and cover:
- Initial consultation.
- Research and proposal development.
- Revisions to finalize your itinerary.
- Booking and management of trip components.
- Support while traveling.
6.1 Custom Travel Planning Fees
- Standard Trip Planning:
- Starting Fee: $250 for trips up to 10 days for two people.
- Additional Charges: $50 per person per day for trips longer than 10 days.
- Family Trips:
- Starting Fee: $500 for families up to five people (two adults and three children under 17).
- Additional Charges:
- $75 per child under 17.
- $100 per person over 18.
- Multi-Destination Trips:
- $250 per extra destination beyond the first.
- Last-Minute Booking Fees:
- $150 for trip requests within 30 days of travel (or 90 days during national holidays).
6.2 Group Trip Management Fees
- Group Setup: $500 per group.
- Individual Group Members: $50 per person.
- Complex Destination Research: $150 per destination.
6.3 Hotel-Only Booking Fees
- Complimentary per reservation when you specify the property and dates.
- $200 per reservation if research is needed (up to 5 hotels in one location).
- $300 for hotel bookings within 7 days of departure.
- $350 per person for urgent or time-intensive requests.
6.4 Concierge Services
Additional services like restaurant reservations, theater tickets, or special events start at $75 per request.
6.5 Airline Tickets
- $75 per person for flight bookings.
- $75 per person for international flight research.
6.6 Ocean and River Cruises
- $100 per trip when you specify the ship and date (up to two cruises).
- $200 per trip for cruise research (up to 5 options for trips up to 14 days).
- Additional fees apply for longer voyages.
6.7 General Terms
- Planning fees are separate from travel costs and are not refundable, even if you don't book or complete the trip.
- Planning fees do not include taxes, service fees, or Supplier charges.
- All travel arrangements are subject to Supplier policies and terms.
7. Payments and Refunds
7.1 Non-Refundable Deposits
Deposits are non-refundable unless the Supplier's terms state otherwise.
7.2 Chargebacks
You agree to resolve disputes with us before initiating chargebacks. Unjustified chargebacks may result in extra fees and cancellation of services.
8. Travel Insurance
8.1 Recommendation
We highly recommend that you buy travel insurance to protect yourself in case you need to cancel or if something unexpected happens during your trip.
8.2 Disclaimer
We are not responsible for evaluating insurance policies or resolving disputes with insurance companies. Please consult an insurance professional for advice.
9. Changes and Cancellations
9.1 Supplier Policies
- Cancellations are subject to both our policies and the Supplier's policies.
- Refunds are determined by Suppliers. We are not responsible if Suppliers fail to provide refunds or go out of business.
9.2 Changes After Booking
- Changes to confirmed bookings may result in additional fees from us and Suppliers.
- Review all booking details and inform us of any corrections promptly.
9.3 No-Show Policy
If you fail to show up for any booking, you will lose all payments made for that service.
10. Liability
10.1 Force Majeure
We are not responsible for events beyond our control, such as natural disasters, pandemics, government actions, or acts of terrorism. Refunds in such cases depend on Supplier policies.
10.2 Assumption of Risk
You understand the risks involved in travel, including health risks like COVID-19, and accept responsibility for your safety.
10.3 Limitation of Liability
Our liability is limited to the amount of fees we received for the services provided.
11. Indemnification
You agree to protect us from any claims or costs that result from your use of our services.
12. Intellectual Property
All content on our website and in our materials, including text, graphics, logos, and software, is owned by us or our content suppliers. Unauthorized use is not allowed.
13. Privacy Policy and Data Protection
Your use of our services is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal information. We comply with all applicable data protection laws when handling your personal information. Please review our Privacy Policy at www.inruta.com/privacy.
14. Electronic Communications
By using our services, you agree to receive electronic communications from us, such as emails and notices.

Our services are intended for individuals at least 18 years old. By using our services, you confirm you meet this age requirement.

18. Dispute Resolution
18.1 Arbitration
If you have a dispute with us, we will resolve it through arbitration in Raleigh, North Carolina, instead of going to court. Arbitration is a
process where a neutral third party (the arbitrator) hears both sides and makes a decision.
18.2 Class Action Waiver
You agree to bring any claims individually and not as part of a group or class action.
19. Governing Law
These Terms are governed by the laws of the State of North Carolina.
19.1 Governing Language
These Terms are written in English. If they are translated into another language, the English version will prevail in case of any differences.
20. Severability
If any part of these Terms is found invalid, the rest remains in effect.
21. Survival
Sections related to Limitation of Liability, Indemnification, Governing Law, and Dispute Resolution will survive the termination of these Terms.
22. Entire Agreement
These Terms, along with our Privacy Policy, are the complete agreement between you and us.
23. Changes to Terms
We may change these Terms at any time. We will notify you of significant changes by email or by posting a notice on our website.
