The Travel Guest Terms and Conditions
By booking travel services through The Travel Guest, you agree to the following terms and conditions. Please read them carefully.
1. Booking and Confirmation
1.1 Booking Process: To confirm a reservation, clients must provide necessary details and make a deposit or full payment as specified. A booking is not confirmed until you receive a confirmation email from us. All bookings are subject to availability at the time of confirmation.
1.2 Payment: Full payment is required at the time of booking unless otherwise stated. For bookings made within 21 days of departure, full payment, along with a copy of the credit card used and identification (e.g., driver’s license or passport), is required.
1.3 Credit Card Authorization: The primary traveler must authorize payment by signing a credit card authorization form. Photocopies of the driver’s license, passport, and payment card may also be requested.
1.4 Booking Amendments: Changes to the booking (e.g., dates, names, or travel details) must be communicated in writing as soon as possible. Amendments may incur additional fees.
1.5 Fees: Fees incur for planning and research beyond 8 hours, for booking groups of 10 or more, extended multi-accommodation trips longer than 7 days, or bookings with non-preferred travel partners. These fees will be communicated up front and agreed upon prior to providing service.
2. Cancellation and Refunds
2.1 Client Cancellation: To cancel a booking, clients must notify us in writing. Cancellation charges will apply based on the travel arrangements. Clients are responsible for any cancellation fees.
2.2 Agency Cancellation: We reserve the right to cancel a booking due to unforeseen circumstances. In such cases, we will offer a full refund or an alternative arrangement.
2.3 Refund Process: Refunds will be processed within 14 business days from the cancellation date and will be made to the original payment method.
3. Travel Insurance
3.1 Insurance Coverage: We strongly recommend purchasing travel insurance to cover trip cancellations, medical emergencies, and lost luggage.
3.2 Liability: We are not responsible for any costs associated with travel insurance claims or lack of insurance coverage.
4. Responsibility and Liability
4.1 Agency Responsibilities: We act as an intermediary between clients and service providers (e.g., airlines, hotels). We are not liable for any failures or disputes arising from these services.
4.2 Client Responsibilities: Clients must ensure they have valid passports, visas, vaccinations, and any other required documentation. We are not liable for issues related to documentation.
4.3 Force Majeure: We are not responsible for changes or cancellations due to events beyond our control, such as natural disasters, political instability, or travel restrictions.
5. Travel Documents
5.1 Documentation: Clients must ensure they have all necessary travel documents, including passports, visas, and health certificates. We are not responsible for obtaining or verifying these documents.
5.2 Errors: While we strive for accuracy in travel documents and bookings, we are not liable for any errors or omissions.
6. Dispute Resolution
6.1 Complaints: Any complaints regarding our services should be submitted in writing within 14 days of the incident. We will investigate and respond in a timely manner.
6.2 Legal Jurisdiction: Disputes arising from these terms and conditions will be governed by the laws of Washington, and legal action must be taken in Washington courts.
7. General Terms
7.1 Modifications: We reserve the right to modify these terms and conditions at any time. Clients will be notified of any significant changes.
7.2 Severability: If any provision of these terms is found to be invalid or unenforceable, the remaining provisions will remain in effect.
8. Privacy Policy
8.1 Data Collection: We collect clients' data and personal information to facilitate travel bookings. This data is held securely and encrypted to prevent breaches.
8.2 Data Sharing: Your data will not be shared with third parties except as necessary to complete your travel arrangements.
