Travel by Tara Vacations, LLC Terms and Conditions

This agreement (the "Agreement") is entered into by and between the undersigned client ("Client") and Travel by Tara Vacations, LLC. This Agreement governs the provision of travel-related services by the Travel Agency to the Client.

1. Booking and Confirmation

1.1 Client agrees to provide accurate and complete information for all travelers included in the booking.
1.2 Travel arrangements are confirmed only upon receipt of the required deposit or full payment, as specified by the Travel Agency.
1.3 It is the responsibility of the Client to review booking details and notify the Travel Agency immediately of any discrepancies. Any fees or cost increases that occur as a result of an unreported error will be the responsibility of the Client.
1.4 The Travel Agency may charge a nominal non-refundable planning fee; this fee will be disclosed to the Client and collected prior to the delivery of the travel quote or proposal.

2. Payments and Cancellations

2.1 The Client agrees to make payments as per the payment schedule provided by the Travel Agency.
2.2 Cancellation policies are outlined in the specific terms provided for each booking. Clients are responsible for understanding and adhering to these policies. The booking confirmation for the travel booked will include the cancellation policy specific to the vendor through which the travel is booked (e.g., cruise line, tour operator, transportation operator, etc.).
2.3 The Travel Agency will charge a non-refundable cancellation fee of $100 per person for any trip that is cancelled. This fee must be paid prior to the cancellation being processed with the vendor.

3. Travel Documentation

3.1 Clients are responsible for obtaining and ensuring the validity of all required travel documents, including passports, visas, and health certificates. Clients are also responsible for verifying what documents are required for their specific travel.
3.2 The Travel Agency shall not be liable for any consequences resulting from the Client's failure to obtain necessary documentation.

4. Travel Insurance

4.1 The Travel Agency strongly recommends that Clients obtain travel insurance to cover unforeseen circumstances, including trip cancellations, medical emergencies, and lost luggage.

5. Changes to Travel Itinerary

5.1 Tour operators, cruise lines, and travel service providers reserve the right to make changes to the itinerary due to unforeseen circumstances. Clients will be informed of any changes as soon as possible after Travel by Tara Vacations, LLC has been notified.
5.2 If the Client requests changes to the itinerary after confirmation, additional fees may apply.

6. Liability

6.1 The Travel Agency is not liable for any loss, injury, damage, or delay arising from events beyond its control, including but not limited to natural disasters, strikes, or governmental actions.
6.2 The maximum liability of the Travel Agency for any claims, including but not limited to negligence, is limited to the total amount paid by the Client for the travel services.

7. Governing Law and Dispute Resolution

7.1 This Agreement is governed by the laws of the State of Texas.
7.2 Any disputes arising from or in connection with this Agreement shall be resolved through arbitration, and judgment upon the award rendered by the arbitrator(s) may be entered in any court having jurisdiction thereof.

Wedding Travel Planning Terms & Conditions

For clients booking destination wedding travel services, the following additional terms apply:

Scope of Wedding Travel Planning Services Provided by Travel by Tara Vacations, LLC

As part of our comprehensive destination wedding travel planning support, we provide the following services:

  • Resort guidance and consultation to help the couple select the best resort based on preferences, budget, group size, and wedding vision.
  • Wedding date selection and confirmation assistance, including communication with the resort to secure and verify the ceremony date and time.
  • Coordination with the resort’s on-site wedding department, ensuring all wedding details, preferences, and requirements are communicated, understood, and confirmed prior to arrival.
  • Outside vendor assistance, including communication or meeting coordination with photographers, videographers, décor providers, DJs, hair/makeup teams, or other third-party vendors as requested by the couple (subject to resort policies regarding outside vendors).
  • Guest room block contract management, including negotiation (as permitted), review, and administration of room block terms.
  • Guest booking administration, including creating and maintaining a customized guest booking portal, responding to guest travel inquiries, processing reservations, and managing payments. All payments are made in the currency designated by the resort/venue which is typically USD. Prices that have been converted to a non USD currency in any booking portal or on any booking confirmation may not match the charge when processed by the clients bank or card issuer due to conversion and/or the banking institutions polices and procedures.
  • In-destination transfer coordination for the couple and their guests, when booked as part of the travel package.
  • Contract closeout and reconciliation, ensuring all contracted concessions—such as comp nights, upgrades, credits, or earned amenities—are properly reflected and processed by the resort at the conclusion of travel or at the time that they are due.

Limitations of Wedding Planning Scope

  • Travel by Tara Vacations, LLC does not serve as a wedding planner or coordinator and does not provide event-design services, décor planning, ceremony/reception timeline management, or day-of coordination. These services are the responsibility of the resort’s wedding team or an external wedding planner hired by the couple.
  • The Travel Agency is not responsible for decisions, actions, or timeline management controlled by the resort’s wedding department or any external vendors.
  • All wedding package terms, inclusions, prices, and policies are established by the resort and may change at any time; clients are responsible for reviewing the resort’s official documentation.

Client Responsibilities for Wedding Travel Services

  • The Client agrees to provide timely responses and accurate information for both the couple and wedding guests as needed for reservations and resort coordination.
  • The Client acknowledges that room availability, pricing, and wedding venues are controlled solely by the resort and subject to change until confirmed by the resort.
  • The Client understands that travel agency services do not replace the resort’s wedding planner, coordinator, or event management team.

By electronically signing, the Client acknowledges that they have read, understood, and agree to abide by the terms and conditions outlined in this Agreement.
