Summary of Terms & Conditions
PRICING & AVAILABILITY: Prices and availability quoted by ESD Travels LLC, including its divisions, Groups Getaways, and Signature Weddings Away, are not guaranteed until the deposit is fully paid. Pricing and availability may change without notice. Passengers acknowledge that ESD Travels LLC and its divisions bear no responsibility for errors or omissions in any quotes or advertisements, including those on our website. These discrepancies can result from inventory, content, or pricing inaccuracies and may also occur due to incorrect information from third parties or suppliers. Furthermore, suppliers reserve the right to decline any published prices they deem erroneous due to electronic, printing, or clerical errors. Passengers acknowledge this right and agree to hold ESD Travels LLC and its divisions harmless for any actions or damages arising from supplier pricing. ESD Travels LLC and its divisions also reserve the right to charge passengers for any increase in taxes, fees, or surcharges, including fuel costs. Passengers acknowledge this right and agree to pay any such additional taxes, fees, and surcharges.
REVISION POLICIES: Any changes made to a reservation may incur a non-refundable $75 per person Supplier Revision Fee, in addition to any increase in the trip cost. All revision requests must be submitted in writing and sent to your ESD Travels LLC, Groups Getaways, or Signature Weddings Away agent via email. The processing of your revision will be confirmed via email if and when it is processed. Revisions are contingent on availability, subject to supplier approval, and are not guaranteed. Revisions made after the final payment has been made are subject to Cancellation Policies.
FINAL PAYMENT: The final payment MUST be received NO LATER THAN 65 days before departure. Please note your calendar of this final payment date as timely payment is required. ESD Travels LLC, including its divisions Signature Weddings Away and Groups Getaways, is not responsible for cancellations due to payments made after this date. Late fees of $50 per person will apply.
LATE FEES: Final payments not received by the due date above will incur a $50 per person late fee. All reservations are subject to cancellation and hotel penalties as described above if final payment is not received on the due date. Late fees are not covered by the travel protection and are always non-refundable.
SERVICE FEE: Service Fees are 100% non-refundable and are solely applied to the cost of administering your reservation. The Service Fee is a separate fee from the cost of your reservation.
CANCELLATION POLICIES: All suppliers have their own cancellation policies, which are applicable to your booking. In the event of a necessary cancellation, please promptly inform your agent in writing via email and request a written confirmation of your cancellation. If you are entitled to a refund, please note that the supplier is responsible for this refund, not ESD Travels LLC and its divisions. Generally, flight tickets, hotel reservations, excursions and other travel-related items cannot be refunded. We are not accountable for any supplier's failure to issue a refund.
Social Group Members will have a cancellation grace period of up to three months for reservations made 9 or more months in advance of the final due date. No cancellation fees will be assessed during this grace period. However, cancellations made within 6 months or less from the final due date will incur a 100% cancellation fee.
Protect Your Investment
All the above would be protected with the optional Travel Protection with the exception of service and late fees. If you do not have insurance - natural disasters (such as hurricanes), cancellations for ANY reason (medical/personal emergencies, cancellation of the wedding, etc.) do not relieve you from these penalties. ONLY the Travel Protection will ensure your coverage. All cancellations must be received in writing.
TRAVEL PROTECTION: Travel Protection is strongly recommended. Travel Protection plans can help protect you in the event of loss of non-refundable trip deposits and payments due to cancellation or trip interruption. The responsibility of obtaining suitable coverage rests solely with each passenger, and ESD Travels LLC and its divisions cannot evaluate the adequacy of the prospective insured's existing insurance coverage. If you have questions about your Travel Protection, please contact your insurer or insurance agent or broker. All claims must be filed with the insurance provider by you and are subject to the sole decision and discretion of the insurance provider, not ESD Travels LLC and its divisions.
Cancel for Any Reason Protection will allow you to cancel for any reason. up to the Insurance. It does NOT cover items you purchase outside ESD Travels LLC (i.e. airfare, tours, excursions, etc). Please Note: if you initially reserve a room-only package & add airfare to the package through ESD Travels LLC at a later date your cancel for any reason protection policy cost will be adjusted to accommodate the revised total trip package cost at that time. This plan does not include increased rates associated with a change in the number of individuals occupying a room. If the number of individuals occupying a room changes, the remaining travelers will be responsible for any additional costs incurred as a result of the change in the per-person occupancy rate.
COVID-19 AND TRAVEL INTERRUPTIONS: It is acknowledged that travel plans may be disrupted or canceled by the supplier, a government entity, or another third party over which ESD Travels LLC and its divisions have no control. Any interruption or cancellation will be subject to the supplier's own policies and applicable laws in effect at the time. Travelers are advised to consider the purchase of travel insurance to protect against financial loss in such situations. Travel insurance terms and coverage will be governed by the insurance policy. By signing this authorization, travelers agree to release ESD Travels LLC and its divisions from liability for any damages or losses incurred due to such interruptions or cancellations.
FOREIGN ENTRY REQUIREMENT: Certain countries require foreign visitors to have valid medical insurance upon entry. ESD Travels LLC and its divisions cannot be held responsible for denied entry due to a passenger's inability to provide insurance details or denial of entry for any reason. Declining travel protection plan coverage could result in the loss of your travel cost or require additional expenses to correct the situation. You also acknowledge that without this coverage, there may be no way to recoup any losses, costs, or expenses incurred. If you choose to travel without adequate coverage, we will not be liable for any of your losses, and you agree to hold ESD Travels LLC and its divisions harmless.
Essential Travel Guidelines: Documentation and Requirements for Minors and Adults
- PASSPORTS: All travelers, including children and infants, MUST have a VALID passport to travel internationally (not a Passport Card). Failure to comply will result in denial of boarding, no refund, and no exceptions (out of the USA). ESD Travels LLC, including its divisions Signature Weddings Away and Groups Getaways, is NOT responsible for passports in ANY way. Passports must be valid for at least 6 months from your return date. PASSPORT CARDS ARE NOT VALID FOR TRAVEL INTERNATIONALLY VIA AIR.
- TRAVEL DOCUMENTS: Travel documents will be sent to you no later than ten (10) days prior to the departure date, in an electronic format. Please read through these documents immediately; misprints, misspellings, incorrect dates, etc. are not the responsibility of ESD Travels LLC and its divisions. Included in your travel documents (if airfare is purchased through ESD Travels LLC) are airline electronic ticket receipts (proof of purchase, not boarding passes or actual tickets). Boarding passes areprinted at the time of check-in; online with the airline directly, or at the airport when showing passport & checking in luggage. It is very important that you take your travel documents with you in addition to passports and a major credit card for any baggage fees that may apply.
- TRAVELING WITH CHILDREN: Children under 18 years of age not traveling with both parents or legal guardian(s) may need to present a notarized letter from the absent parent/guardian granting permission to travel outside the United States and provide emergency medical care if necessary. ESD Travels LLC, including its divisions Signature Weddings Away and Groups Getaways, is not responsible for the lack of compliance to provide proper documentation to airport authorities. It is the responsibility of the traveler & the traveler's parents/guardians to provide proper documentation to airport authorities.
Navigating Air Travel: Baggage Fees, Flight Flexibility, and Check-In Essentials
BAGGAGE FEES: Due to continual changes in airline baggage policies, it is suggested that you inquire with your airline's website for up-to-date fees & information. ESD Travels LLC and its divisions, Signature Weddings Away and Groups Getaways are NOT responsible for additional fees incurred for baggage or seating.
- BAGGAGE FEES ARE NOT PART OF AN ALL-INCLUSIVE PACKAGE. Please review "Updated Checked Bag and Carryon Bag Rules" at www.TSA.gov
AIRLINE SCHEDULE CHANGES & CANCELLATIONS: Occasionally airlines change flight schedules, & may even cancel flights entirely. These changes are beyond ESD Travels LLC and its divisions' control. In the event that such a situation occurs; ESD Travels LLC and its divisions will do its very best to assist you with finding the best possible alternate option(s. If the flight time change is minor (2 hours or less) the airline will automatically make the change (airline policies/rules entitle them to legally do so). ESD Travels LLC and its divisions will notify you of major changes. Please Note: there may be additional costs to re-book a new flight should the airline cancel or make a major change to your original flight itinerary. ESD Travels LLC and its divisions are NOT responsible for any additional costs or fees imposed by the airlines. It is the responsibility of the passenger to check for last-minute airline flight time changes within 24 hours of departure. ESD Travels LLC and its divisions are not responsible for changes that may occur within 24 hours of the original flight departure time.
RE-CONFIRM YOUR FLIGHTS: ESD Travels LLC and its divisions advise you to personally re-confirm your flight schedule within 24 hours prior to departure directly with the airline in case of any last-minute changes or delays. Most airlines allow you to check in online 24 hours prior to departure using the "Record Locator" (found in your travel documents)
AIRLINE CHECK-IN: Please check in with your airline at the airport no later than two (2) hours prior to the scheduled flight departure time.
HONEYMOON & ANNIVERSARY TRAVELERS: To qualify for any complimentary honeymoon/anniversary package, you MUST bring a copy of your marriage certificate (photocopy is recommended). Failure to have such proof of marriage may result in the resort denying these complimentary privileges (if applicable). PLEASE notify your ESD Travels LLC agent if you are celebrating a Honeymoon or Anniversary so that they can annotate this in your reservation. Typically resorts will honor these packages up to 30 days before or after your honeymoon/anniversary date.
