Complete Group Travel Terms and Conditions

THIS INFORMATION IS IMPORTANT. PLEASE READ IT CAREFULLY.
Complete Group Travel (“CGT”), arranges overseas tours on behalf of clubs or educational establishments (“Clubs”) for groups of individuals associated with Clubs. CGT researches and investigates options and puts together itineraries to include transport, (including without limitation airlines, vessels, coaches), accommodation, activities and amenities in the area traveled to, including entertainment or sightseeing, optional excursions, food service providers, etc. (all of whom are collectively referred to as “Suppliers”. CGT will work with Club’s and participants to offer a particular experience (“Tour”). CGT cannot guarantee the tour will be precisely as planned. Therefore we set out here a clear understanding of what we cannot take responsibility for, a clear understanding of what participants must be responsible for and what to do in the event of dispute.
TOUR CONTENT AND PRICE
Group travel requires a certain amount of flexibility in order to offer quality programs at the lowest rates possible. For operational reasons, and to meet the numbers required to qualify for group rates, CGT reserves the right to make changes, and in the event it does so these changes will not constitute grounds for a refund:
Change in departure date, but not to exceed 3 days. CGT is not responsible for individual arrangements that conflict with a date reassignment.
Changes in itinerary, including reversing the itinerary, and changes to the order in which cities or countries are visited, the duration of the stay in each city, addition and omission of cities or countries.
Participants will be charged the Price applicable to the revised itinerary.
CGT tours involve a great deal of walking, and are unsuitable for participants who have difficulty walking or carrying baggage, or who require special assistance. Participants should consider carefully whether an active Tour suits their travel needs.
Players will be in shared rooms of twin, triple or, on occasion, quad size, and all will have their own bed. Parents/family will be in shared twin rooms. Families may have the option for Family Rooms based on availability. Participants can upgrade to a single room for an additional fee available on request.
CGT will use all reasonable endeavours to ensure the trip which you book is supplied materially as described in the issued schedule or on the brochure. To the extent it is necessary to offer alternatives, CGT will ensure that they are of a similar standard. CGT works with Clubs to refine any trip content and gives indicative pricing. based upon a minimum number of participants, the content of the program as outlined in your trip proposal and the date of a Club’s (and a participant’s) registration. Prices will be amended (i) if the minimum enrolment is not met, (ii) if the program content changes, or (iii) in the event of circumstances beyond CGT’s direct control, including, but not limited to, increases in travel security charges, government-imposed fees and taxes (e.g., European V.A.T. increases), increases in airport or airline fees and taxes, and airline, vendor, or group-imposed schedule changes or delays.
Please note: (a) fuel surcharges and other airline ticket related fees and taxes will fluctuate until group ticketing has occurred, [and (b) any exchange rate guarantees applicable to your account will be shown on your invoices](c) an additional fee may be added to your price if a Club makes a substantive change to an itinerary or program content after your registration has been accepted.
CGT may at its sole discretion cancel a program for example due to insufficient prospective participants, unforeseen operational difficulties, lack of projected availability . If a trip is cancelled by CGT for reasons outwith its control, all funds collected from any participant will be refunded.
PRICE DOES NOT INCLUDE THE FOLLOWING FEES: (i) credit / debit card fees, (ii) passport fees, (iii) visa fees, (iv) lunches [unless specifically stated], (v) beverages with meals, (vi) excess baggage charges, (vii) expenses incurred during free time , (viii) porter charges at airports and hotels, (ix) transportation from your home to the origination point of the Tour and back,(x) tips to guides and long-distance bus drivers, (xi) overnight accommodation and meals in the United States prior to departure or upon the return of an international flight, (xii) any mandatory new or increased taxes or inspection fees levied on airline tickets, hotels, transportation, land services, or at ports of entry/exit.
Final payment deadline will be communicated to you any late payments after that date may result in an administration fee being levied, increased price, or participant’s place being cancelled and in which case no refund will be due.
Approximately 10-14 days prior to departure, your Tour Leader will be sent details regarding flight and hotel information, departure and return times, packing tips, drop off/pick-up locations, etc.
ACCEPTANCE OF SUPPLIERS TERM’S AND TRAVEL RISK
Participant’s Acceptance of Supplier Term’s & Travel Risk: International travel can be complex and sometimes things go wrong, there are numerous useful websites including US government sites such as the Center for Disease Control and Prevention’s Traveler’s Health website as well as the State Department’s International Travel website. We recommend you check these sites for information and recommendations. Each individual choosing to travel hereby acknowledges and understand the risks associated and if the individual chooses to travel then he or she voluntarily assumes these risks.
Every participant’s booking is subject to the conditions imposed by the Suppliers.
Participant is aware and acknowledges:-
(i) It is not possible to guarantee the availability of some facilities advertised or communicated. For example facilities may close without prior notice due to public holiday, festivals and routine maintenance. Photographs used in brochures may be general photos and not specific to a Tour booking.
(ii) While every effort is made to assure friendly games go ahead as planned we cannot guarantee that local teams will not cancel And
(iii) that while CGT will use reasonable efforts to organise appropriate alternatives where this is not possible no refunds will be due or given.
All Tour’s are arranged for groups and as a result an appropriate standard of behaviour that does not negatively impact the group is required. Behaviour inappropriate to a mixed group will not be tolerated, Where a Tour is a student group failure to abide by rules or directions may result in the student being sent home at the parents’ expense without any right to a refund. For student Tours consumption or possession of alcoholic beverages is not permitted. For all Tours consumption or possession of or drugs of any kind for which you do not have a valid prescription,is not permitted. Behavior infringing upon the ability of others to enjoy the Program, or compromising your own or others’ safety, or is otherwise inappropriate, or violates the law as well as violation of certain other rules, constitute grounds for immediate expulsion.
Name changes may not be available or allowed in accordance with airline policy. Should changes be allowed, CGT reserves the right to charge a fee (in addition to any fee levied by the airline) to any individual who requires a name change on his/her ticket after issue .
TRAVEL DOCUMENTATION:
Every participant is responsible for ensuring they have the required documentation necessary to participate in the Tour prior to the date of departure, including a passport and where necessary a visa that fully matches the full name provided to CGT for inclusion on travel tickets. Passports must be valid for at least six months after your return date. It is the responsibility of the participant to check and fully comply with the requirements for travel between the United States and the countries that you will be traveling to or through. Travel documentation must meet any other applicable compliance requirements issued by the Transportation Security Administration or equivalent agencies in the destination country.
Program participant must check travel documentation and call CGT and follow up with an email to amend any incorrect information and it is the participant’s sole responsibility to assure that this information is fully up to date.

CGT is not responsible for any fees incurred if your passport or documentation does not meet TSA requirements. This includes, without limitation express passport services, increases in airfare, or any other fees associated with documentation. If a participant is unable to travel due to the lack of a proper identification, passport or visa, or necessary inoculations/vaccinations, the standard cancellation policy will apply.
If participant becomes ill or incapacitated during a Tour, the Club, Tour Leader, or CGT may take such actions as they consider necessary, including securing medical treatment. Participant (or participant’s Parent/ Guardian if participant is a minor) hereby releases CGT, Club and participant’s coach/Tour Leader from any and all liability for the quality or timeliness of any such medical care and agrees to indemnify and keep indemnified CGT for any expenses it incurs. Participant and where relevant participant’s Parent/Guardian consents to the release of medical or other personal information to health care providers or any other persons CGT, in its sole discretion, deems appropriate to release such information to in the event participant becomes ill or incapacitated.
Each participant is responsible for:-
(i) being at appointed meeting / pick up in a timely manner for a scheduled departure, CGT has no duty to delay the Program to wait for you.
(ii) any damage or injury caused deliberately or by carelessness to CGT property, or to any Supplier property or individual without limitation and participant must pay for such damage.
(iii) their own food intake while overseas and acknowledge and accept that language differences may impede the understanding of certain ingredients contained in various recipes and that neither CGT, Club or participant’s coach/Tour Leader nor other staff can provide reliable translation, or make any special arrangements.
(iii) any allergy, or any incident that arises as a result of such allergy;
(iv) any costs arising from the damage, loss or theft of any of personal property during the Tour, including my airline ticket. Each airline has its own procedures for dealing with lost tickets and that you may be required to personally purchase a full fare replacement ticket and in these circumstances participant must pursue any refund directly from the airline.
Participants are solely responsible for their own medical care in all respects, including, but not limited to, obtaining and taking necessary medication(s), vaccinations and any other medical care and treatment.
All participants are advised to obtain travel insurance to cover at a minimum medical (including dental) treatment in the case of accident, illness, and emergency including evacuation and repatriation. Tour Leaders are happy to hold details of the policy in order to assist in the event you require emergency treatment.
CGT Not responsible for Suppliers WAIVER OF LIABILITY
CGT is responsible for taking reasonable and professional steps to ensure that the Suppliers are efficient and reliable and that they maintain good standards conforming to the laws and regulations of the country in which they operate.
However, CGT does not own or control the Suppliers and is neither responsible nor liable for any negligence, (whether through negligent or willful act or failure to act) of any of the Suppliers. The Suppliers are each an independent third party and CGT is not liable for any such person or entity, or for any other third party. CGT is not responsible for any (i) delays or inconvenience; (ii) any injury or damage to person or death; (iii) any loss, or damage to property, in each case in connection with the provision of any goods or services, whether caused by or resulting from, but not limited to (i) acts of force majeure, including without limitation war, civil unrest, insurrection, strikes or other labor activities, criminal or terrorist activities of any kind, pandemic, or epidemic (ii) lost or stolen belongings, (iii) overbooking or changes to standard of accommodation, (iv) failure of airplanes or other means of transport (whether mechanical or otherwise) or for any delays leading to not arriving or depart on time or (v) sanitation problems, food poisoning, lack of or quality of medical care, illness or disease, evacuation (or inability to evacuate, or delays) in case of a medical or other emergency, pandemics or epidemics (whether actual, perceived or threatened), or (vi) for any other cause beyond the direct control of CGT.
CGT reserves the right to make any video or sound recording or take any photograph (“Trip Records”) of any of its trips and each participant agrees that (i) CGT may freely use any such Trip Record for promotional and/or commercial purposes, (ii) they hereby approve of such uses by third parties whom CGT may engage and (iii) Each participant assigns to CGT all rights, titles, and interest in or to any and all Trip Records, including photographs provided directly to CGT or through websites in which his or her name or likeness may or may not appear, and in each of (i) – (iii) without any fee being due or paid to a participant
CGT reserves the right not to accept any participant, or refuse to retain any participant. In the event a potential participant is expelled from a trip, no refund of any kind will be made.
DISPUTES
Any dispute concerning this contract, the Terms & Conditions and/or rules and regulations concerning the Tour, or relating to the trip (or any documentation relevant thereto); arising out of or relating to a Tour itself including, but not limited to, any events and circumstances occurring during the Tour, shall be resolved solely and exclusively by binding arbitration in Erie, Pennsylvania in accordance with the commercial rules of the American Arbitration Association in force from time to time. In any such arbitration, the substantive (but not procedural) laws of the Commonwealth of Pennsylvania will apply. The arbitrator has exclusive authority to resolve any dispute relating to this contract (whether it be the interpretation, applicability, enforceability, or formation of, or any other reason) including but not limited to any claim that all or any part of this contract is void or voidable. In any such arbitration, the arbitrator may, but is not required to, award attorney’s fees to the prevailing party. Each party irrevocably and unconditionally expressly submits to the foregoing binding arbitration for the purposes of dispute resolution hereunder and further irrevocably and unconditionally waives any and all jurisdictional, venue and convenience objections or defenses to such arbitration or to any related action, suit or proceeding in the courts of Pennsylvania to enforce this Agreement to arbitrate or any award granted in any such arbitration..
POLICY- NO HARASSMENT OR DISCRIMINATION
CGT is committed in all areas to providing an environment that is free from harassment or discrimination. In particular any harassment or discrimination based upon an individual’s sex, race, ethnicity, national origin, age, religion or any other legally protected characteristics will not be tolerated. All employees, subcontractors, vendors, service providers, are expected and required to abide by this policy. No person will be adversely affected in employment with the employer as a result of bringing complaints of unlawful harassment.
PRIVACY
To provide the services to you our business requires coordination with various providers who deliver the travel services you request, it is necessary to share some personal information that you have provided, and you expressly consent..
CANCELLATIONS
All cancellations must be made in writing by or on behalf of the person listed on the registration form to CGT Tours and must be postmarked or emailed prior to the group’s departure, and must include account number, registrant’s name, and complete address. If there is an applicable refund, it will only be issued to the person listed on the account. All refunds are issued in the original payment form that was made to the account; the refund process takes approximately four weeks. There will be no refunds for unused services or program features. Upon cancellation, there is no credit/refund for airline tickets. Injury of participants prior to departure does not constitute grounds for refund. The travel insurance covering refunds is the responsibility of the participant and any claims/refunds are determined by the travel insurance company exclusively.
STANDARD CANCELLATION POLICY
Within seven calendar days following receipt of your written confirmation or initial payment invoice (whichever is received first), you may cancel your CGT program and receive a full refund. Beyond the seven day grace period, if you, or the
Program Leader cancel CGT will work with you to refund where possible but cannot guarantee.
The standard cancellation policy is based on the originally scheduled trip dates. This policy does not apply in the event of CGT’ bankruptcy, insolvency, or cessation of business.
[Liability Waiver and Parental Consent: By agreeing to this document, I hereby give my approval for my son’s/daughter’s participation in any activities of CGT Travel Programs during the organized tour. I acknowledge that participation in sports competitions carries with it a potential hazard. I understand and assume all risks and hazards incidental to the conduct of activities and to the transportation to and from any and all activities. I do further hereby release, absolve, indemnify and hold harmless CGT Travel Programs and its organizers, suppliers, officials, and sponsors, any and all of them. In case of injury to my son/daughter either during any activity or transportation to or from such activity, I hereby waive all claims against CGT Travel Programs and its organizers, suppliers, officials, sponsors, or any of the supervisors appointed by them. I likewise release from responsibility any person transporting my son/daughter to or from CGT Travel Programs activities. I also release CGT Travel Programs and its organizers, suppliers, employee, officials, sponsors and contractors from any liability in the case of injury or death during the tour for myself, and/or my spouse/partner/significant other and/or my son and/or daughter. I also certify the address on page three is the legal and permanent address of my son/daughter.]
