Appalachian Paul Travel LLC: Terms and Conditions

1. Agency Disclosure and Relationship

  • Intermediary Status: Appalachian Paul Travel LLC ("Agency") is an independent member of the WorldVia Travel Network.
  • Role: Agency acts solely as an intermediary between you ("Client") and the third-party suppliers of travel services, including but not limited to cruise lines, airlines, hotels, and tour operators.
  • Supplier Terms: All travel services are subject to the specific terms, conditions, and cancellation policies of the respective Suppliers. Client agrees to be bound by these Supplier contracts.

2. Professional Services, Fees, and Scope of Work

  • Professional Consultation: Client acknowledges that Agency provides expert consultation, research, and travel management services.
  • Scope of Work: Planning fees cover research and the creation of up to three (3) revised itinerary versions. Additional revisions or significant changes to the destination/dates after research has begun may incur a separate Change Fee.
  • Fee Obligation: In consideration for these services, Client agrees to pay the non-refundable fees set forth in the Fee Schedule below.
  • Non-Refundability: Professional fees are separate from the cost of travel and are non-refundable, regardless of whether the travel is subsequently cancelled by the Client or the Supplier.
  • Payment: All professional fees must be paid in full before any research or booking services commence.
  • Agency reserves the right, at its sole discretion, to waive or reduce professional fees for specific promotional periods or established client relationships. Any such waiver will be confirmed in writing at the time of the initial consultation".

3. 2026 Professional Fee Schedule

Per ticket. Covers complex document and visa checks when only purchasing Air.

Change/Reissue Fee

$50.00

Per occurrence, in addition to any supplier-imposed penalties.

4. Liability, Documentation, and Insurance

  • Non-Liability: Agency is not liable for injury, loss, or delay caused by the acts or omissions of any Supplier.
  • Force Majeure: Agency is not responsible for disruptions caused by "Acts of God," pandemics, or other events beyond its control.
  • Travel Insurance Requirement: Agency strongly recommends purchasing travel insurance. By declining insurance, Client assumes all risk of financial loss and releases Agency from any liability related to trip cancellation, medical emergencies, or lost baggage.
  • Passports and Visas: It is the Client's sole responsibility to verify and obtain all necessary travel documents. Passports must typically be valid for at least 6 months beyond the return date.

5. Governing Law (Virginia)

  • Jurisdiction: These terms are governed by the laws of the Commonwealth of Virginia.
  • Venue: Any legal proceedings must be brought in a court of competent jurisdiction in the county of Agency’s registered office in Virginia.
