CANCELLATION POLICY
Effective for All Tours, Retreats, and Group Experiences

Booking a Lumina experience is a commitment, and Lumina Literary Tours, LLC holds that commitment seriously on both sides. This Cancellation Policy is incorporated by reference into your Guest Terms and Conditions and applies to all tours, retreats, and group experiences operated or coordinated by Lumina Literary Tours, LLC. By completing your booking, you acknowledge that you have read, understood, and agreed to these terms.
1. NON-REFUNDABLE DEPOSIT
A $500 non-refundable deposit is required at the time of booking to secure your spot. This deposit is applied toward your total trip balance and is non-refundable under all circumstances, including cancellation by the guest for any reason.
Proof of travel insurance must be provided within 30 days of your deposit. Failure to provide this documentation may result in cancellation of your booking at Lumina's discretion.
2. PAYMENT SCHEDULE
The following schedule governs all financial milestones for your experience. Dates are calculated backward from your trip's departure date. Monthly installments begin 30 days after your deposit is received and continue through the final payment deadline.

Payments not received by their respective deadlines may result in automatic cancellation of your booking. Lumina Literary Tours reserves the right to release your spot without prior notice if payment milestones are missed.
3. CANCELLATION BY GUEST
3A. How to Cancel
All cancellation requests must be submitted in writing to heybabe@luminaliterarytours.com. Your cancellation is not considered received until Lumina Literary Tours sends written confirmation of receipt. Phone calls, voicemails, and social media messages do not constitute formal notice.
3B. Cancellation Penalties
The date your written cancellation notice is received by Lumina Literary Tours determines which penalty tier applies. The following schedule is in effect:

Important: The $350 cancellation fee applies in addition to the forfeited deposit for all cancellations received prior to the 120-day non-refundable cliff.
Once the 120-day non-refundable cliff has passed, all payments made to date are forfeited in full. No partial refunds, travel credits, or future booking credits will be issued. |
3C. No Refunds After the Non-Refundable Cliff
After the 120-day mark, Lumina Literary Tours has made binding financial commitments to vendors, suppliers, and partners on your behalf. These payments are not recoverable. As a result, no refunds of any kind will be issued for cancellations received at or after the 120-day mark, regardless of the reason for cancellation. This includes, but is not limited to, personal illness, family emergencies, work obligations, or changes in personal circumstances.
3D. Early Departure
If you voluntarily depart a tour or retreat before its scheduled conclusion, no refund will be issued for any unused portion of your experience. You will be solely responsible for any transportation, accommodation, or other costs incurred as a result of your early departure.
4. CANCELLATION BY LUMINA LITERARY TOURS
4A. Minimum Enrollment
Each Lumina experience has a minimum enrollment threshold. A go/no-go headcount review is conducted at 150 days prior to departure. If minimum enrollment is not met at that time, Lumina Literary Tours reserves the right to cancel the experience. In the event of cancellation due to insufficient enrollment, guests will receive a full refund of all payments made to date.
4B. Lumina-Initiated Cancellation for Other Reasons
Lumina Literary Tours reserves the right to cancel or postpone any experience at any time due to safety concerns, force majeure events, vendor failure, or circumstances beyond its reasonable control. In such cases, Lumina will offer one of the following, at its sole discretion:
- A full refund of all payments made to Lumina Literary Tours, excluding any third-party fees that are non-recoverable (including but not limited to independently purchased airfare, travel insurance premiums, or visa fees)
- A credit toward a future Lumina experience of equal or greater value, valid for 12 months from the date of cancellation
Lumina Literary Tours is not responsible for any costs incurred by the guest as a result of cancellation, including independently booked flights, accommodations, or activities.
4C. Itinerary Modifications
Lumina Literary Tours reserves the right to modify any aspect of a tour itinerary, including but not limited to hotels, dining, transportation, activities, and excursions, as circumstances require. Reasonable modifications to the itinerary do not constitute cancellation and do not entitle guests to a refund or credit.
5. FORCE MAJEURE
Lumina Literary Tours shall not be liable for cancellation, postponement, or modification of any experience resulting from events beyond its reasonable control. Force majeure includes, but is not limited to, acts of God, natural disasters, pandemic or public health emergencies, government-issued travel advisories, civil unrest, terrorism, war, strikes, or any other event that renders the operation of the experience inadvisable, unsafe, or impossible.
Force majeure coverage applies to government-issued travel advisories, including advisory-level guidance that falls short of a full prohibition on travel. Guests are strongly encouraged to secure comprehensive travel insurance that includes cancel-for-any-reason coverage to protect against such events.
Lumina Literary Tours will make reasonable efforts to recover vendor payments on guests' behalf in force majeure situations, but cannot guarantee recovery. Any amounts recovered from vendors will be returned to guests on a pro-rata basis, less any unrecoverable costs.
6. SPOT TRANSFER AND RESALE
If you are unable to attend a confirmed experience, you may request a spot transfer to another eligible guest at least 60 days prior to departure, subject to Lumina's written approval. A transfer fee may apply. Lumina Literary Tours will not collect payment from both the original guest and the transferred guest for the same spot. Any amounts already paid by the original guest will be credited toward the replacement guest's balance, and the original guest's remaining forfeited amounts will be determined by the cancellation schedule in Section 3B above.
7. TRAVEL INSURANCE
Travel insurance is not optional for Lumina guests. It is required.
Proof of a policy covering trip cancellation, interruption, medical emergencies, and evacuation must be provided within 30 days of your deposit. Lumina Literary Tours will not be responsible for any financial loss resulting from a guest's failure to obtain adequate coverage. |
Guests who choose to forgo cancel-for-any-reason coverage do so at their own risk. Lumina Literary Tours strongly recommends a policy that includes cancel-for-any-reason (CFAR) coverage, purchased within 14 days of your initial deposit to maximize your coverage window for pre-existing conditions.
8. DISPUTE RESOLUTION
Any dispute arising out of or relating to this Cancellation Policy shall first be addressed through good-faith negotiation between the parties. If negotiation does not resolve the matter within 30 days, the parties agree to proceed to non-binding mediation before initiating binding arbitration. All disputes shall be governed by the laws of the State of New York, with venue in Suffolk County. Class action waiver applies; all claims must be brought in the guest's individual capacity.
9. POLICY MODIFICATIONS
Lumina Literary Tours reserves the right to update this Cancellation Policy at any time. Any changes will apply to bookings made after the effective date of the revised policy. Guests who have already confirmed their booking will be governed by the version of the policy in effect at the time of their booking, except where required by applicable law.
GUEST ACKNOWLEDGMENT
By completing your booking with Lumina Literary Tours, LLC, you confirm that you are at least 18 years of age, have read and understood this Cancellation Policy in full, and agree to be bound by its terms.
