Updated on: Oct 28, 2025

Terms and Conditions

These terms and conditions (“Terms and Conditions”) govern the relationship between Tern Software, Inc. d/b/a Tern Travel (“TERN” and/or “we/us/our”) and you, the registrant (“Client” and “Attendee” and “you/your”) for participation in the Tern User Conference (the “Event”). By registering to attend the Event, you agree to be bound by these Terms and acknowledge that TERN acts solely as the Event organizer and is not responsible for any independent travel or lodging arrangements you may choose to make.

These Terms include disclaimers of liability and limitations of remedies and may restrict your rights.

1. Registration and Use of Services

You warrant that you are at least 18 years of age and possess the legal authority to enter into this Agreement and to attend the Event. You agree to be financially responsible for the registration fee and any other costs associated with your participation in the Event. You warrant that all information supplied by you during registration is true and accurate.

In order to secure your place at the Event, you must complete full registration in the Event platform. Submission of payment alone does not guarantee participation until registration is completed.

TERN is not responsible for arranging your transportation or lodging. A room block may be offered as a convenience, but you are free to make your own accommodations. You agree that you will abide by the terms and conditions of any hotel or supplier you contract with directly.

2. Right to Correct Errors and Offers Subject to Availability

We reserve the right to correct errors in pricing or published information. Any offers, incentives, or promotions are subject to availability and may change without notice.

3. Payments, Cancellations, and Refunds

By submitting payment for the Event, you agree not to dispute the charge except in cases of fraud. If you attempt to chargeback, reverse, or recollect a previously authorized payment, TERN reserves the right to collect all additional costs, fees, and expenses associated with such action, including attorney fees.

  • All payments must be received in full at the time of registration unless otherwise stated.
  • On or before April 22, 2026 (more than 6 months out): Full refund
  • April 23 – July 22, 2026 (3–6 months out): 50% refund
  • After July 22, 2026 (less than 3 months out): No refund
  • Refund requests must be submitted in writing to events@tern.travel
  • Name substitutions are permitted up to October 15, 2026 (1 week before the event)

4. Travel, Identification, and Documentation

You are solely responsible for securing your own travel to and from the Event, as well as any required identification, visas, or other documentation (if applicable). TERN is not responsible for travel delays, cancellations, or expenses you may incur.

5. Accessibility and Special Needs

If you have disabilities or special needs that may require accommodation during the Event, please notify us in advance. While we will make reasonable efforts to assist, TERN is not responsible for the failure of third-party service providers to meet your needs.

6. Health, Safety, and Insurance

Attendance at the Event is voluntary and may involve inherent risks. You are encouraged to review any applicable government or health advisories prior to travel.

TERN strongly encourages attendees to obtain their own travel and/or event insurance to protect against unexpected circumstances, including but not limited to medical emergencies, travel disruptions, or event cancellation. Insurance is not required to register, and TERN is not a licensed insurance provider.

7. Conduct

You are expected to conduct yourself responsibly and respectfully at all times during the Event. TERN reserves the right to remove any attendee whose conduct is disruptive, unsafe, or in violation of applicable laws or Event rules, without refund. You are responsible for any damage or loss caused by your actions.

8. Photography and Media Release

By attending the Event, you acknowledge and agree that photographs, video, and audio recordings may be taken of you. You grant TERN and its partners the irrevocable right to use such media for promotional, educational, or other lawful purposes, without compensation. If you do not wish to be photographed or recorded, it is your responsibility to notify TERN in writing prior to the Event; however, TERN cannot guarantee that you will not appear in incidental media.

9. Force Majeure

TERN will not be liable for failure or delay in performance due to events beyond its reasonable control, including acts of God, natural disasters, strikes, pandemics, government actions, or other circumstances making the Event impracticable or impossible.

10. Limitations of Liability

TERN is not responsible for independent arrangements you may make in connection with attending the Event (including but not limited to airfare, lodging, or ground transportation).

IN NO EVENT SHALL TERN BE LIABLE FOR INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL, OR PUNITIVE DAMAGES, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

11. Governing Law

These Terms are governed by the laws of the State of Michigan. Any disputes shall be brought exclusively in the courts located in Wayne County, Michigan.

12. General

These Terms constitute the entire agreement between you and TERN regarding the Event and supersede any prior agreements or understandings. We reserve the right to update these Terms at any time, and the latest version will apply.
