Sceptre Vacations Terms and Conditions

RATES:

Rates are quoted in USD and based on current exchange rates. All rates are quoted per person,

based on double occupancy and group participation levels. Sceptre Vacations reserves the right

to adjust prices and/or itinerary as necessary due to availability or unforeseeable events. Upon

confirmation, all rates are guaranteed.

TRAVEL PROTECTION:

We strongly recommend the purchase of our Trip Protection Plan, which is offered by Sceptre

Vacations at 12% of the total per person trip cost. The Trip Protection Plan must be purchased at

the time of final payment and is non-refundable. Furthermore, everyone participating in the group

must purchase the same insurance. This coverage is designed to protect your travel investment

with a full refund, less the cost of the insurance. Our group policy covers cancellation for the

following reasons: death, sickness, injury or certain other covered reasons. For complete details on

policy coverage, please refer to our brochure or the legal sections on our website. All claims are to

FREE PLACES:

No free places are included unless otherwise stated. If included, free land places are based on

half-twin shared accommodation. If a single room is required, the single room supplement is the

responsibility of the passenger. Free air places, if offered by the airline, do not include departure

taxes and fees, which are the responsibility of the passenger and must be paid prior to ticketing.

PAYMENTS:

Sceptre Vacations requires a non-refundable $300 group land deposit to begin the confirmation

process. Certain suppliers may require additional deposits for prepayment. You will be advised if

any additional payments are required at the time of confirmation. Most 5- star hotels and

Castle/Manor House properties do require prepayments to reserve group space.

Payments can be made by credit card or check made payable to Sceptre Vacations. A $30 fee

will be applied for any check returned due to lack of funds. Sceptre Vacations reserves the right to

cancel reservations and release space if payment and deposits are not received in a timely

manner.

NOTE: It is the responsibility of the Travel Agent/Tour Leader to maintain individual

passenger payment records. Sceptre Vacations applies payments to the overall group

booking and does not issue individual passenger invoices.

HOTEL ACCOMMODATION:

Hotel accommodation is subject to availability at the time of deposit. If Sceptre Vacations is unable

to confirm the hotel(s) listed in our quotation, we will attempt to secure space at a similar hotel of

equal standard and cost. In the event a similar hotel is not available, a supplement may apply. It

may be necessary to confirm accommodation outside your requested cities due to conventions or

special events. Single, triple and quad occupancy rooms are on a request basis only and may not

be available at all properties.

GROUND TRANSPORTATION:

Unless otherwise stated, one (1) arrival and one (1) departure transfers are included for groups

traveling on the same flights. Passengers deviating from the group flights will be required to make

their own way to the hotel.

No refund will be given for missed or unused services.

BAGGAGE:

Porterage of one suitcase per passenger is not included unless otherwise stated in your group

quote and confirmation. Due to limited capacity on motor coaches, there is a limit of one piece of

luggage per person, plus one carry-on bag. Passengers exceeding this limit are subject to

additional charges. It is the responsibility of the individual or group leader to pay for these

additional charges locally.

GRATUITIES / SERVICE CHARGES:

All local service charges are included on confirmed items. However, gratuities to your driver or

guides are not included.

We suggest the following gratuities:

● Ireland: Driver/Guide €7 – 10 per person, per day.

● Iceland Guide – kr1200 -1850 per person, per day.

● Iceland Driver - kr1200 -1850 per person, per day.

● Italy: Driver €4 – 5, Guide €4, Tour Manager €6 – 7, all per person, per day.

● UK: Driver £2 – 4, Tour Director £3 – 5, Guide £1 – 3 all per person, per day.

● Spain/Portugal: Driver & Guide each €20 per day, per group.

● France: Driver & guide each €2 per person, per day.

AIR POLICY:

Group air bookings require a minimum of 10 passengers traveling on the same itinerary and dates.

The deposit amount required to confirm space varies by airline. Applicable airline terms and

deposit requirements are outlined in your individual group contract provided at the time

of confirmation. Generally, full payment on group air space is due 120 days prior to

departure. If your group does not meet the minimum airline requirement, group fares are

no longer valid and are subject to repricing.

PASSENGER INFORMATION:

The Transportation Security Administration (TSA) requires all passengers to provide the following:

● Full name, exactly as it appears on passport

● Date of birth

● Gender

Sceptre Vacations cannot be held responsible for errors resulting in fees or denied boarding

AIRLINE BAGGAGE POLICY:

It is the responsibility of the passengers to contact the airlines for baggage allowance for all flights

being taken. Flights between European cities have different requirements than your flights

departing from the USA. Any fees for overweight, oversized and/or excess baggage assessed by

the airline are the responsibility of the passenger.

AIRLINE TAX & FUEL SURCHARGES:

If group air is purchased from Sceptre Vacations, airline taxes and fuel surcharges are included. The

airlines reserve the right to increase taxes and fuel surcharges until tickets have been issued. To

avoid potential increases, the entire group may choose to accelerate full air payment to issue

group airline tickets. Once airline tickets are issued, they are no longer subject to potential

increases but become fully non-refundable.

AIR SEATING:

Many airlines do not allow advanced seat assignments for groups. Airlines secure seat blocks for

groups and do not assign passengers to specific seats until airport check-in.

PASSPORTS AND VISAS:

Passports should be valid for 6 months beyond your return date. It is the passenger’s responsibility to

obtain

the proper travel documentation required to enter any European country.

GROUP FINALIZATION: 10-MAY 2027

Final payment and rooming list are due 120 days prior to departure

CANCELLATION FEES:

All cancellations must be received in writing.

Cancellations made after confirmation; the deposits will be forfeited. Cancellations made after

final payment is received are subject to the following penalties:

120 – 95 days prior: May 17 – June 11 Deposit will be forfeited

94 – 65 days prior: June 12 – July 11 25% of total trip cost + Insurance + Any

applicable supplier fees*

64 – travel date: July 12 & later 100% non-refundable

*Cancellation policies may vary by supplier. You will be advised of the applicable penalties for your

group.

NOTE: Refunds are processed within 45 days of the group’s return date.

AIR CANCELLATIONS:

Airline cancellation penalties vary depending on the carrier. Applicable penalties pertaining to

your group are outlined in your individual group contract.

DOCUMENTATION:

Travel documents are shipped to the group leader approximately 2 to 3 weeks prior to departure

and only after the final payment has been received.

CHANGE FEES:

After confirmation, any amendments made to confirmed services are subject to a fee of $100.00

per change, plus any additional supplier fees. This includes the removal of any services such as

hotels, tours and transfers. No changes/revisions are allowed within 30 days of departure. There are

no refunds for unused or cancelled services.

LIABILITY:

The carriers, hotels and other suppliers providing travel or other services for Sceptre Vacations are

independent contractors and are not agents or employees of Sceptre Vacations and/or its

affiliates. Sceptre Vacations and its affiliates are not responsible for the acts, errors, omissions,

representations, warranties, breaches, or negligence of any such supplier, or for any personal

injuries, death, property damage, or other damages or expenses resulting therefrom. Sceptre

Vacations and its affiliates have no liability and will make no refund in the event of any delay,

cancellation, overbooking, strike, force majeure, or other causes beyond their direct control and

are not responsible for any additional expense, omissions, delays, re-routing or acts of any

government authority.
