RESERVATIONS
Group bookings require at least 9 guests on the booking. For Exclusive Groups, we require a minimum number of guests, which varies based on the destination. If the Exclusive Group does not have at least the minimum number of guests booked 180 days prior to departure, we reserve the right to sell guests onto your coach. For Non-Exclusive Groups, at 150 days prior to departure, we will have a final review of space sold and we will determine if the group can keep selling in to their block or if the remaining space must be released. We reserve the right to take back held space at Trafalgar's discretion based on how the trip is selling.
- Group: A $500 deposit ($1000 for an exclusive group) is required to confirm the land arrangements and refundable up until 150 days prior to departure for non-exclusive or 180 days prior to departure for exclusive groups. Space will not be confirmed until the group deposit is received. Additional deposits may be required at particular hotels which we secure for the trip. As they become known you will be invoiced accordingly and payment conditions specified.
- Individual Per Person: As guests book onto the trip, we require a non-refundable per person deposit.
Final Payment – Required 90 days prior to the group's departure date. Final payment due dates are based on trip type or region. See contract or brochure for details.
Payment – Trafalgar accepts payments made in the form of checks, money orders, American Express, MasterCard, Visa or Discover Card. Your payment is not deemed made until Trafalgar receives it.
Air is covered under a separate agreement. Air arrangements will not be made until the land deposit is received and requires an additional deposit per person. The group air deposit is due within 7 days of receiving an air confirmation. Specific airline terms and conditions will be provided at the time air space is booked as each airline has their own policies and procedures.
Airport Transfers – Please note the arrival and departure transfer details as stated in the ‘important details about the trip’ section of the contract. Please note there will be no reduction or refund from the price for any unused segments. If Trafalgar is not providing the air for your group, please provide the flight information in writing 65 days prior to departure.
Travel documents will be sent to you approximately 21 days prior to trip start date (providing full payment has been received). If your group is leaving earlier, please ask your Groups Specialist to request your travel documents in good time. If travel documents are required the next day or earlier than 21 days prior to departure an additional fee based on the actual shipping cost will apply. If documents need to be mailed to an international address, an additional fee based on the actual shipping cost will apply.
CANCELLATION POLICY
Trafalgar must receive all cancellations and revisions in writing.
Group Cancellations:
Outside of 150 days prior to departure for non-exclusive or 180 days prior to departure for exclusive groups will receive a refund of the group deposit or may transfer the deposit to a future group booking (with the exception of non-refundable air deposits). Within 150 days prior to departure for non-exclusive or 180 days prior to departure for exclusive groups will forfeit group deposit.
Individual cancellations:
- Over 90 days prior to departure will forfeit per person deposit. See brochure for details
- 90 – 1 day(s) prior to departure cancellation penalties will mirror the penalties listed in the Trafalgar brochures and sometimes vary based on destination and itinerary
- If additional services have been added to the booking (i.e. extra hotel nights, meals, group transfers, sightseeing additions) additional penalties may apply.
Pre- and post-trip accommodations cancelled between 14 days and the day of departure may incur penalties up to 100% of the accommodations cost.
Group packages that include airline tickets are subject to penalties in accordance with the airline's own terms and conditions applicable to the airfare. These penalties are in addition to any land penalties incurred.
Individual purchase of Travel Protection Plan is non- refundable and may affect the amount and type of penalty and/or refund if individual cancels within penalty period.
GENERAL INFORMATION AND CONDITIONS
Every endeavor is made to ensure all services are included as per your quote request, however it is your responsibility to check all inclusions in the itinerary as any items not specified will incur supplemental charges.
Trafalgar reserves the right to vary itineraries should circumstances dictate, as well as cancel or reschedule any departure in accordance with operating requirements, or circumstances beyond its control. The advertised trips require minimum numbers to depart. Should these not be met, Trafalgar reserves the right to cancel arrangements.
Your agreement is with Trafalgar and a contract is formed when you make a reservation with us that we accept. Enrollment in and payment for a guided vacation/holiday shall constitute acceptance by the guest of the terms and conditions in this document. These cannot be varied except in writing by an officer of the Company.
All contracts with Trafalgar are made subject to the terms of these booking conditions.
We reserve the right to change these booking conditions at any time prior to you making a booking.
The invalidity of any provisions herein shall not affect the validity of any other provisions. The agreement shall be construed as though the invalid provision was not contained herein and was replaced with an enforceable provision as similar as possible to the original provision. Should any conflict arise between these booking conditions and those contained within our brochures, these booking conditions shall prevail.
Security is a major concern to all of us and the situation globally is constantly changing. Events around the world, coupled with the “Travel Advisories” put out by various governments, may at times necessitate changes to the accommodations and itinerary or even trip cancellation. You must accept these risks involved in travel to any country that may experience security difficulties and accept responsibility for your own travel decisions. You are urged to consult with government sources, including the United States Department of State, news sources as well as your Travel Agent prior to making your travel plans.
Travel Insurance - We strongly recommend guests to have travel insurance covering all dates of travel with Trafalgar, meeting the minimum levels listed below and covering: trip interruption, trip delay, emergency evacuation/repatriation, medical expenses from illness, whether individual or related to a pandemic event, such as COVID-19, and any medically-imposed quarantine such as could result from a guest in the group contracting COVID-19 while traveling with Trafalgar.
Coverage should be at least the following amounts:
Trip Interruption: Cost of the trip (excluding air)
Trip Delay: $ 150/day, $750 total per person
Emergency Evacuation/Repatriation: $100,000 per person
Medical Expense: $25,000 per person
Most travel insurers require you to purchase your coverage within a certain time of making your initial deposit/payment. Guests are advised to research and purchase insurance as soon as possible after making the deposit/payment.
As one convenient option, Trafalgar offers a Travel Protection Plan, underwritten by Arch Insurance Group, that meets or exceeds the above coverages. Availability of travel insurance and extent of coverage can change, so please refer to our website for information or contact one of our reservation specialists. If you wish to purchase Trafalgar Travel Protection Plan, you must purchase the Travel Protection Plan within 14 days of making your initial deposit/payment.
You are not required to purchase your insurance from Trafalgar and are welcome to choose any travel insurance product that meets or exceeds the requirements above. If you purchase your insurance from another seller, we will ask you to provide Trafalgar with information regarding your insurance policy prior to final payment being due.
No policy covers every risk. Coverages, conditions, exclusions and limitations under each policy differ. The minimum amounts listed above may not cover all your costs. You will be responsible for costs in excess of coverage amounts and for all costs if coverage does not apply. We encourage you to research your choices for a policy best suited to your circumstances. Should you choose to travel on Trafalgar without the required travel insurance, you will need to declare this option when you complete your trip registration.
COVID-19 An inherent risk of exposure to COVID-19 exists in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. According to the WHO senior citizens and guests with underlying medical conditions are especially vulnerable. We ask that you please take personal responsibility for your wellbeing. This begins with packing any personal protective equipment and sanitizers you require. Please adopt physical distancing and hygiene practices throughout your pre-trip travel arrangements and follow all health instructions whether physical signage, or requests from our professional staff, once you are holidaying with us. To travel with Trafalgar, you voluntarily assume all risks related to exposure to COVID-19. Full details of hygiene protocols can be found on our website.
Departure Date - The departure date is the date indicated on the booking confirmation.
Trip Prices – Prices are per person in US Dollars. Free Vacation Host (TC) space is based on twin-share. Single supplement will be charged if TC is booked in a Single room.
Single and Triple Room Request – Trafalgar reserves the right to limit the number of single and triple (if available) rooms per group.
Hotel Accommodations – All accommodations are subject to availability and subject to change.
Passport and Visas – Each guest is responsible for having a passport that is valid for at least 6 months beyond the conclusion of their trip; all necessary visas and permits; and they must comply with entry, health or other requirements of the countries visited. Some of our vacations enter a country more than once; therefore multiple-entry visas may be required for some countries. The Operators and/or their employees and their agents are not responsible for passport, visa requirements, entry, health or other requirements of the countries visited or for any loss sustained by guests for failing to comply with laws, regulations, orders and/or requirements of countries visited.
Change Fee – Upon confirmation of arrangements, any voluntary change in any component of the itinerary may result in a $50 per person fee (airline penalties and fees, if applicable, will be additional).
