Upon booking, we will provide you with instructions of payments and all due dates.  You must make all payments in full and on time.  Failure to make a payment may result in the cancellation of your travel.  In such a case this would be considered a cancellation by you and the cancellation terms and fees as described below would be in effect.

NORTHSTAR TRAVEL COMPANY will notify client of the supplier’s refund, change and/or cancellation fees and penalties during the proposal phase. Client is aware that the airline ticket, especially holiday, group and discounted fares may be subject to the loss of some or all of the fare or require expenditure of additional money if client elects to change or cancel the reservation.

NORTHSTAR TRAVEL COMPANY will make every effort to request that suppliers honor and uphold price as originally quoted; however, under certain circumstances additional costs by a supplier or government may be imposed due to an increase in cost for one or more of the travel components, which is the responsibility of the customer.

If travel is outside of the U.S., some components of the quotes are from foreign suppliers. Customers must note that currency fluctuates daily with exchange rates, and international payments may carry a foreign traction fee, which is the responsibility of the customer.

Below is a guideline, but yield to the specific amount in your agency agreement you sign and the planning charge invoice.

Pricing & Availability Note

Fees are payable by debit, credit card, gift card, or bank transfer via emailed Invoice link. NORTHSTAR TRAVEL COMPANY will cover the merchant fees associated with paying the above fees. NORTHSTAR TRAVEL COMPANY Fees are separate from the cost of your trip and may be split between multiple travelers.

Our planning fee is integral to covering the time spent researching, pricing, compiling, and organizing your booking. If your trip is not finalized and deposited within 30 days, we must treat it as a new booking, which incurs a fresh planning fee. This is necessary due to the need for re-pricing and reorganizing your trip based on current availability. Additionally, should the scope of your trip change significantly, a higher planning fee may apply to accommodate the additional work required before more work can continue.

While we and or travel vendors do accept major credit cards including Visa, Mastercard, American Express and Discover, customers must provide to us a click or signed authorization for every transaction for your trip. Your authorization is an agreement for us to charge your card and an acknowledgement and agreement to these terms and conditions including the cancellation terms. As such you agree not to make any improper chargebacks.

In certain cases, you may dispute charges with credit card companies (“chargebacks”). Before initiating a chargeback, we ask you first to call us to discuss any questions or concerns about our charges. We will work with you in attempting to resolve your concerns. By using our service to make a reservation, you accept and agree to our cancellation policy. NORTHSTAR TRAVEL COMPANY retains the right to dispute any chargeback that is improper and recover any costs, including attorney’s fees related to improper chargebacks. Additionally, in the event of an improper chargeback, we retain the right to cancel any travel reservation related to that improper chargeback. The following chargeback scenarios are improper, and we retain the right to investigate and rebut any such chargeback claims:

  • Chargebacks resulting from non-cancellable reservations, whether or not the reservation is used.
  • Chargebacks resulting from charges authorized by family, friends, associates or other third parties with direct access to your credit card. This does not include credit card fraud.
  • Chargebacks arising from inconsistency or inaccuracy with regard to the supplier’s product description.
  • Chargebacks resulting from force majeure or other circumstances that are beyond the control of NORTHSTAR TRAVEL COMPANY or the travel vendor.
  • Chargebacks resulting because you do not agree with the cancellation policy.

  • All Non-Group Bookings: $50 per person + the supplier’s fee, if applicable
  • All Group Bookings:  $50 per person + the supplier’s fee, if applicable

Note: NORTHSTAR TRAVEL COMPANY’s cancellation fees are separate from the supplier’s cancellation fees. Supplier policies regarding cancellation fees will be relayed in your trip proposal. Suppliers may choose to provide a travel voucher or credit in lieu of refund.  We are not responsible for a supplier’s failure to pay a refund or for supplier bankruptcy or insolvency. Cancellation fees must be paid via a provided link in order for NORTHSTAR TRAVEL COMPANY to move forward with cancellation of trip components. If the trip is moved, or another trip is planned before canceling a trip resulting in the number of trips with NORTHSTAR TRAVEL COMPANY to be the same or greater, this fee can be waived.

Once purchased, air transaction prices will not increase, except for potential charges that result from government-imposed taxes or fees. You consent to pay for such changes and authorize NORTHSTAR TRAVEL COMPANY to charge your credit card for such additional amount, albeit rare.

Suppliers reserve the right to increase prices to cover increased costs, fuel surcharges, tariffs, and taxes, and to reflect fluctuations in foreign exchange markets.

If the reason for cancellation is covered under the terms of your travel protection plan you may be able to reclaim these charges, for this reason we strongly encourage the purchase of a travel protection plan including additional cancel for any reason coverage.

Typically, we collaborate with suppliers to curate a comprehensive packaged vacation that brings all the elements together seamlessly for you. However, it's important to note that due to the contractual agreements with hotels, tour operators, flights, and transfers, they often do not permit the breakdown and disclosure of individual item pricing.

Consequently, as a travel agency, we may not have access to the itemized pricing for each component on the itinerary. In most instances, the vacation package we offer is presented as a whole, encompassing all the included elements rather than being itemized separately. This approach ensures a well-crafted and cohesive travel experience, but it means we may not be able to provide a detailed breakdown of individual costs.

Rest assured, our aim is to provide you with a seamless and enjoyable vacation, and we are available to address any queries or concerns you may have about the package or its inclusions. Your satisfaction is our priority, and we are committed to crafting the perfect travel experience for you.

During local or national holidays or special events, peak seasons, on certain days of the week, and during religious occasions, certain facilities such as museums, churches, restaurants, sightseeing trips, hotels, and shopping may be limited or not available. Alternatives will be offered whenever possible. NORTHSTAR TRAVEL COMPANY cannot be held responsible for any closures, necessary itinerary changes, or curtails for any reason. It is the customer’s responsibility to protect their purchases. For this reason, Travel Protection Coverage including additional cancel for any reason coverage is strongly recommended. Such plan should cover Trip Cancellation or Interruption, Medical Expense, Emergency Evacuation/Repatriation, and Baggage. Travel protection plans can help protect you in the event of loss of non-refundable trip deposits and payments that result from cancellation or trip interruption (due to a covered reason such as injury or illness before or during the trip). It also helps with reimbursement for medical emergency costs (including very costly medical evacuation costs), missed connections and baggage loss. Travel Protection Plans including cancel for any reason coverage must be purchased in close conjunction with your travel purchase.

NORTHSTAR TRAVEL COMPANY is not qualified to answer technical questions about the benefits, exclusions, and conditions of travel insurance plans. NORTHSTAR TRAVEL COMPANY cannot evaluate the adequacy of the prospective insured’s existing insurance coverage. If you have any questions about your travel protection, call your insurer or insurance agent or broker.

Certain countries have a requirement for foreign visitors to have valid medical insurance on entry. NORTHSTAR TRAVEL COMPANY cannot be held responsible for denied entry if a customer is unable to provide details to authorities of insurance or denial of entry for any reason. Declining to purchase an adequate travel protection plan could result in the loss of your travel cost and/or require more money to correct the situation. You also acknowledge that without this coverage, there may be no way to recoup any losses, costs or expenses incurred. If you choose to travel without adequate coverage, we will not be liable for any of your losses howsoever arising, for which trip protection plan coverage would otherwise have been available.   If this protection is declined, a signed liability release waiver form will be required.

NORTHSTAR TRAVEL COMPANY urges customers to remain informed on a daily basis as to current news, as well as to review travel prohibitions, warnings, announcements, and advisories issued by the United States Government prior to booking travel to international destinations. Information on conditions in various countries and the level of risk associated with travel to particular international destinations can be found at, and In addition, you should consult with government websites to ensure that you are in compliance with all requirements for admittance into that country, including COVID- 19 requirements, as well as understanding local laws that govern travel within a country, such as medical tests and tracking. Each foreign country holds different views of past criminal offenses – if you have a current or past offense, please contact that country directly for entry and exit requirements. Travelers with DWI or DUI records should check whether current rules exclude admission to foreign destinations. As an example, Canada often denies entry to travelers with a DUI conviction. These requirements remain the traveler’s responsibility due to the private nature of criminal records. For further information, please visit the U.S. State Department web site:
